Key Responsibilities:
- Document Management:
- Oversee the creation, storage, retrieval, and distribution of documents within the organization. Ensure document accuracy, updates, and easy accessibility.
- Implement processes for documentation, document distribution, and disposal of expired documents.
- System Management:
- Manage document control systems (both electronic and physical) to facilitate efficient processing and retrieval of documents.
- Continuously improve the organization’s risk management system across various operations to ensure effective identification, evaluation, and control of identified risks.
- Develop operational procedures for quality-related processes and instructions.
- Complete quality-related records.
- Compliance and Quality Assurance:
- Ensure compliance with document control policies, procedures, and industry standards.
- Conduct regular audits and reviews to maintain document accuracy and compliance.
- Collaboration:
- Work closely with various departments to facilitate effective document control and communication.
- Training and Support:
- Provide training and guidance to team members and other staff on document control processes and systems.
- Process Improvement:
- Identify opportunities for process improvements in document management and implement enhancements to increase efficiency and effectiveness.
- Reporting:
- Prepare and present reports on document control activities, including metrics, compliance status, and process improvements.
- Records Management:
- Maintain accurate records and archives for all important documents. Ensure proper retention and disposal of documents in accordance with organizational policies and legal requirements.
- Problem Solving:
- Address and resolve any issues or discrepancies related to document control promptly.
- Process Mapping:
- Coordinate with the central team to develop organized process maps and flowcharts.
Bachelor’s degree in a relevant field.3-5 years of experience in document control. preferred in health care industry. Relevant certifications (such as Certified Document Control Professional) are an added advantage.Awareness of ISO 9001 Quality Management System and internal auditing.Knowledge of creating quality documents.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).Strong understanding of document control processes and practices.
