Executive Assistant

Job Purpose

The Executive Assistant plays a pivotal role in providing comprehensive executive, administrative, and developmental support to the COO. Acting as the primary point of contact for both internal and external stakeholders, the Executive Assistant ensures efficient coordination of executive activities, fosters effective communication, and manages various projects. Additionally, the Executive Assistant serves as a liaison to the Board of Directors and facilitates executive outreach and external relations endeavors.

Responsibilities/Duties

  • Assists the COO in daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
  • Facilitate communication on behalf of the COO with internal and external parties, ensuring seamless logistics for high-level meetings.
  • Represent the COO in interactions with directors, employees, donors, and foundation staff, as directed by the COO.
  • Conduct research to identify prospective corporate and foundation donors, evaluate their suitability, and compile necessary materials for proposals.
  • Prepare reports, solicitation letters, and proposals, and coordinate communication with donors and prospects.
  • Supports COO in in fulfilling external commitments effectively.
  • Other duties and responsibilities might be assigned.

Qualifications

ESSENTIAL QUALIFICATIONS, KNOWLEDGE & EXPERIENCE

  • Proficient in writing, editing, organization, and research.
  • Capable of engaging with diverse stakeholders, including major donors, board members, and colleagues.
  • Fluent English and Arabic.

Knowledge

  • Proficient in writing, editing, organization, and research.
  • Proficiency in Windows, including MS Word, Excel and PowerPoint.
  • Familiarity with additional languages and international protocols, with knowledge of French or Spanish being advantageous.
  • Excellent management, time-management, and problem-solving skills.

Experience

  • 2 to 5 years’ experience in a similar position.
  • Prior involvement in development and fundraising initiatives aimed at enhancing donor contributions and funding sources.
