Office Manager/Executive Assistant to Chairman

Receive all phone calls.
• Write and draft the required letters to the concerned parties, whether they are letters delivered with acknowledgment of receipt or e-mail.
• Prepare and coordinate the movements of the technical team in a manner consistent with achieving the goals and requirements of the department.
• Deal with consultants' offices, government agencies, and private establishments to complete all deliveries of the institution from papers and facilities
• Ensure the smooth implementation of daily tasks for all customers and employees affiliated with the department.
• Coordinate with the maintenance team to meet the needs of customers to enhance positive relationships with customers and maintain their continuity.
• Visit some customers in case of problems in order to strengthen relationships and explore opportunities to expand business and meet customer needs.
• Maintain records of customer data, whether personal or technical, calls, for all customer operations
• Provide support and solutions to problems resulting from complaints and requirements of department employees and customers.
• Approve administrative employee requests such as vacations, appointments, etc. according to the institution's policy and work requirements.
• Cooperate with the technical team to formulate and write letters addressed to customers.
• Coordinate relations between the institution and customers to ensure continuity of the service provided and submit reports.
• Manage measurements, tenders and practices with customers and concerned companies.
• Reduce operational risks by following up with senior management through a report on the status of the department.
• Supervise all tasks and requirements of the technical department from purchase orders and provide the necessary tools to achieve the required production by following up with other departments to ensure adherence to deadlines with customers to enhance confidence.
• Guide and motivate the technical team to enhance productivity and participation.
• Conduct performance evaluations for the technical team that achieve their goals and recommend improvements as necessary on a regular basis.
• Report on the operational and administrative performance of employees and customers monthly, and provide recommendations for improvement and enhancing confidence.
• Perform other operational and administrative tasks as directed by senior management.
• Know the customer's impression and strive to achieve demands through a timetable.
• Develop an action plan in coordination with the technical manager and senior management to ensure that work is completed according to the timetables.
• Commitment to the number of individuals within the department according to the budget specified by the management.

• Ability to negotiate and persuade clients regarding discussions and reaching an agreement to implement estimates and tenders.
