Executive Secretary

Provide all executive secretarial tasks for the Chairman through high ability in time management, meticulous attention to detail regarding important documents and records, and full understanding of the nature of the executive secretary's job details. This includes, for example, organizing and monitoring regular and emergency meetings, preparing outgoing correspondence, reviewing incoming correspondence, as well as the ability to perform the following tasks according to the specified skills below:

  • Maintain the Chairman's schedule and the ability to plan daily and periodic appointments and meetings, attend meetings to record all mentioned points, follow them up, and ensure their achievement.
  • Maintain confidential information, data, and documents securely, with high organizational skills and proficiency in using computers to achieve efficient business management and ensure the maintenance of records, both electronic and paper, ensuring easy access to information.
  • Have the skill to innovate effective solutions and assist in addressing problems and challenges with ideas to improve and develop workflow.
  • Proficiency in using MS Office programs and the ability to use ERP resource planning software.
  • Professionalism, integrity, and confidentiality in dealing with various data and documents.
  • Mastery of communication skills with different personalities.
  • Familiarity with basic research methods and report preparation techniques, in addition to proficiency in dealing with technical vocabulary for various industries.
  • Preparation and arrangement of travel arrangements according to the Chairman's schedule.
  • Ability to efficiently handle and receive visitors.
  • Ability to handle phone calls and behave well.
  • Ability to manage all activities related to document and record management, including indexing, archiving, arranging, and disposing of expired documents and documents according to direct instructions in this regard.
  • Ability to manage incoming and outgoing transactions, prepare memoranda, letters, and reports, manage oral and written communication processes, open new files, save transactions and documents for retrieval and optimal use of office equipment, and follow up on their maintenance.
  • Ability to copy texts in Arabic and English, considering language rules and verbal meanings of vocabulary and sentence structures.
  • Ability to organize and utilize time effectively and productively, focusing efforts on top priorities and the ability to accomplish multiple tasks simultaneously and deliver high-quality work outputs within specified time frames.
  • Ability to draft correspondence in a skilled manner that considers linguistic rules and verbal meanings, using a style based on logical analysis and sequence of ideas to help understand the intended meaning of the mentioned correspondence.
  • Ability to learn quickly, gain experience, and understand different work systems.
  • Perfect in English language (conversation – drafting).
  • Bachelor's degree in Business Administration is preferred.
  • Obtaining a certified diploma in executive secretarial field is preferred.
  • Obtaining certified training courses to master the use of Microsoft office programs is a must.
  • Experience in the same job title for at least 10 years.
