Job Location: Saudi Arabia
Key Responsibilities: • Manage and organize daily operations in the headquarters and branches, including meetings, archiving, correspondence, and follow-up on implementation of administrative decisions. • Develop and update unified administrative policies and procedures (correspondence systems, archiving, stamp usage, administrative authorities, file organization) and ensure compliance across all branches. • Supervise office affairs including leases, maintenance, cleaning, security, office supplies, and contracts with suppliers and service providers. • Coordinate and arrange senior management meetings (Board of Directors, committees, periodic meetings) including invitations, schedules, venues, presentations, documentation, and follow-up of decisions administratively. • Manage schedules, visits, travel arrangements, reception, and accommodation for senior management, guests, official visitors, and auditors. • Organize and maintain official records and documents (contracts, company files, lease agreements, supplier contracts, meeting minutes, powers of attorney, branch records) ensuring confidentiality and accessibility. Administrative follow-up with HR: • Support administrative recruitment processes (advertising, initial screening, interview coordination). • Monitor attendance, leave, and timekeeping for administrative and support staff at the headquarters and branches. • Contribute to onboarding programs for new employees from an administrative and organizational perspective. • Prepare periodic reports for senior management regarding administrative efficiency, challenges, resource needs, and branch administrative and logistical status. •Organize internal events (staff gatherings, workshops, extended meetings) from an administrative and logistical perspective. • Ensure administrative coordination between headquarters and GCC branches to unify templates, administrative policies, correspondence formats, and reporting — without involvement in audit content or technical client files. Required Qualifications: • Bachelor’s degree in Public Administration, Business Administration, or any relevant administrative field. • 7–10 years of experience in general administration or office management, preferably in professional service companies or multi-branch organizations. • Strong experience with government electronic platforms and government relations in Saudi Arabia (such as labor and social insurance systems) is a significant advantage. • Excellent organizational, follow-up, time management, and multi-site team management skills. • Proficiency in Microsoft Office tools, electronic archiving systems, and office management systems.
