Job Summary
Responsibilities: Full management of truck operations and task distribution, oversight of equipment maintenance, and truck licensing.
Job Duties and Responsibilities:
- Manage the operations of freight transport and distribute tasks to trucks.
- Direct and manage vehicle drivers.
- Coordinate with the marketing department regarding operational costs.
- Participate in the selection of drivers in collaboration with the HR department.
- Ensure the availability of necessary safety and security equipment.
- Manage direct dealings with other transport companies and arrange external trucks if needed.
- Oversee the issuance of fuel vouchers in coordination with the finance department.
- Supervise internal maintenance operations, including routine maintenance of all trucks and vehicles, as well as external maintenance for unexpected breakdowns.
- Conduct daily inspections of all vehicles before they leave the company.
- Supervise the processing of traffic licenses and insurance for trucks and vehicles.
- Prepare and submit reports covering all administrative and technical aspects.
- Hold meetings to discuss customer complaints regarding freight transport operations.
- Collaborate with HR to evaluate staff in various departments.
- Oversee speed monitoring of trucks and ensure drivers comply with driving instructions.
- Manage daily operational accounts and costs, including financial expenditures, fuel consumption, and petty expenses, and prepare reports for the finance department.
- Issue assignments and tasks for all department staff.
- Ensure receipt of all administrative and technical reports from department staff.
- Supervise the organization of internal truck movements.
- Submit memorandums to HR for disciplinary actions against rule violators.
- Receive delivery routes from distributors from the previous day and finalize them.
- Create new delivery routes and provide them to the accounts department for invoice preparation.
- Monitor distributors while they receive delivery routes and invoices from accounts.
- Ensure distributors carefully read distribution notes before approaching clients.
- Follow up with all distributors throughout the day until they return to the office.
- Record attendance and assignments for all distributors.
- Review the daily data with the data department on the distribution forms pending delivery.
- Receive the distribution forms filled out at the client’s location, date them, sign them, and submit them to the data department for record-keeping.
- Receive the daily invoice statement from the data department to add to the "Invoices Pending Distribution" Excel sheet.
- Filter the pending distribution invoices from those already delivered and delete them from the file.
- Print the pending distribution statement and routes, place them in a pending distribution file, and submit them to the secretary's office for the general manager’s desk.
- Upon receiving a client’s settlement statement, collect it from the secretary’s office, inform the accounts department to prepare financial advances, and send the distributor for settlement.
- If no distributor is available in the company, the distribution manager performs all distributor tasks.
- Monitor all vehicles via GPS.
Degree in Supply Chain Management, Diploma, or master's in business administration.Proven work experience as a Fleet Manager or similar roleStrong communication skills.Effective time management skills.Proficiency in Microsoft Office and ERP systems.Problem-solving skills.
