Ensure efficient implementation and execution of the administration function in the company ensuring that facility maintenance and other administrative services are provided in an effective manner.
Accountabilities:
- Develop & implement the Administration function objectives & develop operation plans for the head office and branches in line with the company and function strategies.
- Manage and participate in the needed budget for the function, monitor & control costs and expenses to ensure compliance with the plan.
- Manage the related day-to-day operations of Administration & Facilities for the head office and branches to ensure that all operations are running as designed and comply with established policies, processes, and procedures.
- Initiates and leads periodic customer satisfaction surveys to identify critical areas of improvement for the head office and branches.
- Handle all administrative payments whether directly or indirectly through communicating with the procurement department all the head office and branch needs from external providers clearly, in order to support the administrative operations and ensure cost-effectiveness and efficiency.
- Manage the Administration & facility maintenance services, catering, accommodation, cleaning, utilities, and organizing all events -including board meetings and logistics preparation- so to guarantee smooth workflow and deliver a high level of services in all the head offices and branches.
- Manage the provision of courier services, mobile and telephone services, delivery of staff transportation, and driving services provided in the head office and branches in a timely and efficient manner with full compliance with the organization’s policy and procedures.
- Develop and maintain relationships with third-party suppliers that provide administrative services to EGIC – hotels, car rentals, and cleaning – to benefit from corporate deals and offers, considering contracts and another alignment of procedures.
- Monitor the ticketing system through the transactions on the ticketing and requests (due date and assignment); to ensure the execution of service in accordance to the SLA and timing without overdue.
- Ensure effective implementation of the plants’ preventive & periodical maintenance as per schedule, in addition to managing all relevant construction and renovation projects, considering that all facilities meet environmental, health, and security standards.
- Monitor related administrative department invoices in all the head offices and branches; monitor and review the accuracy of relevant general ledger accounts and confirm the delivery of services.
- Manage all other key operational needs in the head office and branches, such as ordering meals for trainers and managing drivers' working schedules, by monitoring the distribution of their working activities in order to meet associated business needs.
- Motivate, direct, and provide team members with the necessary guidance and support to conduct tasks and activities toward the achievement of division deliverables, objectives, and plans.
- Oversee the preparation of Contracts related to the head office and branches.
- Ensure Storage of the Pantry is effectively monitored to avoid overstock or understock
- Provide Guidance to the Team in executing their respective responsibilities toward the achievement of the department goals.
- Ensure KPIs”s / KRIs and MIS including a monthly dashboard for all administration department.
- Support the opening of new Branches or factories and reallocations of branches or factories
Requirements & Professional qualifications:
- Bachelor's Degree in any discipline.
- Minimum 7 years of experience in the Administration field.
- KSA market experience is highly preferable or willing to relocate to KSA.
- Familiar with ERP systems (SAP is preferable).
- Experience in setting team objectives and management based on KPIs.
- Stakeholder management skills and dealing with SLA.
- Excellent English verbal and written.
