Office Manager

  • Arrange regional visits and coordinate with AMEA's Office Manager/administrators, and local managers the following (Visa Preparations, required permits, flight details, transportation, and hotel reservations, and visit agenda).
  • Plan and organize company events and conferences.
  • Track the office expenses in accordance to the available weekly budget.
  • Responsible for ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise.
  • Coordinate with department heads to review budgeting needs and department projects.
  • Provide daily ad hoc assistance to the Country Manager.
  • Assign and monitor clerical, administrative, and secretarial responsibilities and tasks among office staff.
  • Manage and supervise the office representatives who receive orders from vendors or deliver documents to the bank by coordinating with the procurement and financial departments.
  • Supervise on the office cleaning staff regarding working hours, materials, quality control, and supplying food and beverages.

Proven experience as an Office Manager, Front Office Manager or Administrative AssistantKnowledge of Office Administrator responsibilities, systems and proceduresProficiency in MS Office (MS Excel and MS Outlook, in particular)Hands on experience with office machines (e.g. fax machines and printers)Familiarity with email scheduling tools, like Email Scheduler and BoomerangExcellent time management skills and ability to multi-task and prioritize workAttention to detail and problem solving skillsExcellent written and verbal communication skills ( Arabic & English ) Strong organizational and planning skills in a fast-paced environmentA creative mind with an ability to suggest improvements
