Executive Assistant to the Chief Executive Officer (CEO)
Location: Alexandria, Egypt Work Type: Full-Time, On-Site Reporting To: Chief Executive Officer
Role Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to the CEO to provide high-level administrative, organizational, and operational support to the Chief Executive Officer. The role requires excellent time management, communication, and coordination skills, with the ability to manage multiple priorities, anticipate the CEO’s needs, and ensure that daily executive activities run efficiently. The Executive Assistant will act as a key point of coordination between the CEO and internal and external stakeholders, while maintaining a high level of professionalism, confidentiality, and discretion.
Key Responsibilities
Manage and maintain the CEO’s calendar, appointments, and daily schedule. Coordinate and prioritize meetings based on business priorities and strategic objectives. Organize internal and external meetings, ensuring all required participants and materials are properly coordinated. Monitor upcoming commitments, deadlines, and priorities to ensure timely follow-up. Proactively identify scheduling conflicts and recommend appropriate solutions. Prepare the CEO for meetings by organizing agendas, presentations, reports, and relevant background materials. Attend meetings when required and document key action points, decisions, and follow-ups. Track outstanding actions and ensure that relevant stakeholders follow through on agreed commitments. Manage and prioritize incoming requests, emails, correspondence, and communications on behalf of the CEO. Draft, review, and format professional emails, letters, reports, presentations, and other business communications. Maintain professional communication with senior executives, clients, partners, suppliers, and other stakeholders. Coordinate domestic and international travel arrangements, including flights, accommodation, transportation, and itineraries. Prepare, organize, and reconcile CEO expense reports and supporting documentation. Maintain accurate and well-organized executive files, documents, records, and databases. Support the CEO with special projects, research, presentations, and business initiatives. Track key deadlines, deliverables, and follow-up actions across different workstreams.
Qualifications & Skills
Experience as an Executive Assistant, Personal Assistant, Executive Coordinator, or similar senior administrative role. Strong executive administrative and organizational skills, with the ability to manage complex tasks and multiple priorities. Proven experience supporting senior executives and coordinating with internal and external stakeholders. Strong calendar and diary management skills, including scheduling, prioritization, and meeting coordination. Experience arranging business travel and managing expense reports and related documentation. Excellent written and verbal communication skills in a professional business environment. Strong attention to detail, follow-through, and problem-solving abilities. High level of professionalism, discretion, and confidentiality. Strong proficiency in productivity and office tools, including email, calendars, spreadsheets, word-processing, and presentation software. Ability to work effectively in a fast-paced, dynamic environment and manage changing priorities. Strong interpersonal and stakeholder-management skills. Ability to work full-time on-site in Alexandria. Willingness and ability to travel as required. A bachelor’s degree or relevant qualification in Business Administration, Management, Administration, or a related field is preferred.
