Key Responsibilities:
Strategic Calendar & Meeting Management
- Dual-Calendar Coordination: Manage and synchronize the schedules of two Executive Directors, ensuring no overlaps and prioritizing high-value meetings.
- Meeting Gatekeeper: Screen all meeting requests and "drop-ins," ensuring the directors' time is protected for strategic work.
- Briefing & Prep: Prepare agendas, briefing notes, and research before meetings. Attend key meetings to take minutes and track action items for follow-up.
Communication & Liaison
- Email Management: Filter and manage high-volume email accounts; draft professional correspondence in both English and Arabic.
- Internal Coordination: Serve as a bridge between the Directors and the new Operations and
- Client Relations: Professionally handle sensitive communication with international exhibition partners and VIP clients.
Travel & Event Logistics (Support)
- Executive Travel: Work closely with the Logistics & Travel Supervisor to arrange seamless international travel itineraries, visas, and accommodations for the Directors.
- On-Site Support: Occasionally assist on-site during major exhibition launches to coordinate executive-level meetings or hospitality.
Administrative Excellence
- Expense Management: Consolidate and file the Directors' business expenses and reimbursements.
- Confidentiality: Handle sensitive information, including the New Salary Scale and company financial reports, with 100% discretion.
- Office Oversight: As a Maadi resident, ensure the office is "client-ready" before the Directors arrive, reflecting the high standards of the Konzept brand.
