Administrative Assistant

Job Purpose

The Administrative Assistant will provide administrative and clerical support to ensure smooth day-to-day office operations and support the Engineering and Tendering Departments through effective documentation, coordination, and professional communication in an engineering and contracting environment.

Key Responsibilities

Administrative & Office Support

  • Provide administrative and clerical support for daily office operations.
  • Handle emails, correspondence, and phone calls in a professional manner.
  • Assist in scheduling meetings and organizing office activities when required.
  • Support office supplies management and coordinate with suppliers and courier services.

Engineering & Tendering Support

  • Assist Engineering and Tendering teams in preparing and organizing project and tender documents.
  • Support the drafting, formatting, and reviewing of technical and financial proposals.
  • Coordinate internally to collect required documents for tenders and submissions.

Documentation & Filing

  • Maintain and update organized electronic and hard-copy filing systems for projects, tenders, and correspondence.
  • Assist in document control, version tracking, and proper archiving of records.

Coordination & Communication

  • Communicate professionally with internal teams, clients, consultants, and suppliers under supervision.
  • Follow up on assigned tasks, documents, and deadlines to ensure timely completion.
