Job Description
- Job Code: Back Office Sales Coordinator
- Reports To: Sales Manager/ Managing Director
- Exp: 1 to 3 years.
- ERP System Management: Serve as the primary user for sales-related transactions on the ERP system. This includes creating Sales Orders (SOs), processing Invoices, managing stock reservations, and tracking delivery notes.
- Sales Documentation: Ensure all sales documents (Quotations, Contracts, Purchase Orders from clients) are filed, verified, and accurately reflected in the system for both internal and external audits.
- Cross-Functional Coordination: Act as the middle-mile link, communicating order status and documentation flow between the:
- Sales Team: To provide updates on order status and stock availability.
- Logistics/Warehouse: To coordinate delivery schedules and shipping details.
- Finance Team: To ensure correct invoicing and payment tracking.
- After-Sales Documentation: Facilitate the smooth handover to the After-Sales/Technical Support team by ensuring all necessary project documentation and warranties are prepared and transferred upon project completion.
- Administrative Support: Maintain and update customer files, process expense reports for the sales team, and generate basic weekly/monthly sales reports from the ERP.
- Education: Bachelor's degree in Business Administration, Commerce, Accounting, or a relevant field.
- Experience: 0 to 3 years in a clerical, administrative, or back-office environment.
- Technical Skills: Strong command of Microsoft Excel (mandatory) for tracking and reporting. High comfort level with learning new software/systems.
- Soft Skills: Exceptional attention to detail and organizational skills. Highly organized, reliable, and able to manage high volumes of paperwork/digital data. Good professional Arabic and English communication.
