The CEO Office Manager / Executive Assistant provides high-level administrative and operational support to the Chief Executive Officer. This role ensures smooth coordination of all executive activities, communication, and project follow-ups across different business sectors. The ideal candidate has strong organizational and operational skills, excellent communication, and the ability to manage priorities in a fast-paced environment.
Key Responsibilities
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Manage the CEO’s calendar, appointments, travel arrangements, and meeting schedules.
- Prepare meeting agendas, minutes, presentations, and follow-up action items.
- Oversee office operations and ensure administrative efficiency within the CEO’s office.
- Coordinate with different departments to monitor project progress, reports, and deadlines.
- Review, organize, and prioritize the CEO’s daily workload, correspondence, and documentation.
- Support in preparing reports, analyses, and communication materials for board or leadership meetings.
- Handle confidential information with discretion and professionalism.
- Supervise support staff and coordinate special projects as assigned by the CEO.
Bachelor’s degree in Business Administration, Management, or a related field. - Minimum of 5 years of experience in office management, executive support, or operations. - Solid understanding of business processes and cross-functional coordination. - Strong organizational, time management, and multitasking abilities. - Excellent communication and interpersonal skills. - High level of discretion, integrity, and professionalism. - Proficiency in MS Office (Word, Excel, PowerPoint, Outlook). - Previous experience supporting C-level executives in industrial, trading, or service sectors is an advantage.
