Job Summary:
As a Receptionist/Admin Assistant, you will serve as the first point of contact for visitors and clients, providing a warm and professional welcome. You will also assist with administrative and HR tasks to support the smooth operation of the office, including handling purchasing requests, flight ticket bookings, and hotel accommodations. This role requires excellent communication skills, organization, and the ability to multitask effectively.
Key Responsibilities:
- Front Desk Management:
- Greet and assist visitors, clients, and employees in a friendly and professional manner.
- Manage incoming calls, emails, and inquiries, directing them to the appropriate personnel.
- Administrative Support:
- Perform general administrative tasks, including filing, data entry, and document preparation.
- Assist in scheduling meetings, managing calendars, and coordinating appointments.
- HR Support:
- Support in the HR tasks assigned by the HR Manager
- Office Coordination:
- Maintain a clean and organized reception area and office environment.
- Order and manage office supplies, ensuring adequate stock levels.
- Communication:
- Facilitate effective communication between departments and with external stakeholders.
- Prepare and distribute internal and external correspondence as needed.
- Record Keeping:
- Maintain and update databases, filing systems, and records in an accurate and timely manner.
- Assist with the preparation of reports and presentations as required.
- Purchasing Requests:
- Handle purchasing requests, ensuring compliance with company policies and procedures.
- Collaborate with vendors and suppliers to obtain quotes and place orders for necessary office supplies and equipment.
- Travel Arrangements:
- Coordinate flight tickets, hotel accommodations, and transportation for staff and visitors.
- Ensure travel arrangements are cost-effective and meet the needs of the travelers.
- Team Support:
- Collaborate with team members to support various projects and initiatives.
- Provide backup support to other administrative staff as needed.
