Executive Secretary

Job Description

  • Provide comprehensive administrative and secretarial support to executive management.
  • Manage and coordinate executive schedules, appointments, and meetings.
  • Prepare, proofread, and edit correspondence, reports, and presentations.
  • Handle confidential information with discretion and professionalism.
  • Organize and maintain electronic and paper files, ensuring easy retrieval and security.
  • Coordinate travel arrangements, itineraries, and accommodations for executives.
  • Serve as a liaison between executives, staff, and external stakeholders.
  • Assist in the preparation and distribution of meeting agendas and minutes.
  • Monitor and prioritize incoming communications, including emails and phone calls.
  • Support office operations and contribute to process improvements as needed.

Job Requirements1-2 years of proven experience as an executive secretary, administrative assistant, or similar role.Excellent organizational and time management skills.Strong written and verbal communication abilities.Proficiency in office software, including MS Office Suite (Word, Excel, PowerPoint, Outlook).Ability to handle sensitive information with integrity and confidentiality.Demonstrated attention to detail and accuracy in all tasks.Strong interpersonal skills and a professional demeanor.Ability to multitask and prioritize effectively in a fast-paced environment.Flexibility to adapt to changing priorities and demands.Commitment to upholding the values and mission of the organization
