Executive Business Coordinator to the Chairman
Job Purpose
To provide high-level administrative and executive support to the Chairman by coordinating daily operations, managing correspondence and meetings, representing the Chairman in selected events and meetings, and ensuring smooth communication between top management, company departments, and external stakeholders.
Key Responsibilities
Office Management for the Chairman
Coordinate the daily agenda including meetings, appointments, and travel arrangements.
Review correspondence, reports, and set priorities for the Chairman.
Prepare necessary files and documents prior to meetings.
Internal and External Coordination
Act as a liaison between the Chairman and different company departments to ensure decisions are implemented.
Represent the Chairman in official meetings with clients and external partners.
Attend certain meetings and events that require executive presence and strong corporate representation.
Follow-up and Decision-Making
Monitor the implementation of the Chairman’s decisions and ensure compliance.
Take operational or administrative decisions on behalf of the Chairman within delegated authority.
Provide regular reports and summaries to the Chairman on business progress.
Executive and Administrative Support
Prepare presentations, official letters, and documents.
Draft meeting minutes and follow up on agreed action points.
Assist in drafting memos and internal decisions.
Corporate Image & Representation
Maintain strict confidentiality regarding all company and Chairman-related matters.
Represent the Chairman and the company with high professionalism in internal and external dealings.
Ensure effective, diplomatic, and courteous communication at all times.
QualificationsBachelor’s degree in Business Administration, Languages, or a related field.8 – 12 years of proven experience in similar executive roles (Executive Assistant, Office Manager, Business Coordinator).Advanced command of English (spoken and written).Strong communication, negotiation, and time management skills.Professional appearance, strong personality, and ability to represent the Chairman formally. Position in the Organizational StructureReports directly to: The Chairman / Business Owner.Coordinates with: All executive departments, clients, and external partners.
