- Administrative and Operations Support:
- Receiving and recording all department requests such as contracts, investigations, or any related request.
- Assists with administrative tasks such as managing calendars, scheduling meetings, coordinating travel arrangements, and handling correspondence.
- Handle document management, organizing and maintaining legal files and databases.
- Automate repetitive tasks and enhance overall operational efficiency.
- Provide administrative support to attorneys, paralegals, and other legal team members.
- Maintaining and coding the department archiving system for both soft and hard copy.
- Issuing department’s purchasing requests.
- Administer and maintain legal operations systems, databases, and tools, such as matter management systems, document repositories, contract management systems, and e-billing platforms.
- Coordinate legal projects, including tracking progress, managing timelines, and communicating project updates to stakeholders.
- Assist in the development and implementation of legal department policies, procedures, and best practices to enhance operational efficiency and compliance.
- Support the legal team in managing legal matters, including organizing case files, maintaining litigation calendars, and tracking key deadlines.
- Assist in the preparation and distribution of legal documents, such as contracts, agreements, and internal memoranda.
- Collaborate with cross-functional teams and departments, such as finance, HR, and compliance, to ensure alignment and effective communication.
- Identify opportunities for process improvements and automation within the legal department, making recommendations and implementing solutions.
- Assist in the management of outside counsel relationships, including coordinating and managing billing processes.
- Prepare reports and metrics on legal operations activities, analyzing data and identifying trends or areas for improvement.
- Investigation:
- Handling a investigations requests
- Handling the investigations attendees from Legal departments.
- Sending the investigations reports and findings to the relevant departments.
- Following up with the relevant departments for findings execution.
- Data Analysis and Reporting:
- Collect and analyze data related to legal operations and generate reports or dashboards to provide insights to Head of legal & Compliance.
- Preparing regular status updates.
- Creating project plans, tracking milestones, managing timelines, and coordinating cross-functional teams.
- Managing Legal Documents and Records:
- Organize, maintain, and retrieve legal documents, including contracts, agreements, court filings, and correspondence.
- Implement and maintain document management systems to ensure efficient storage, retrieval, and access to legal documents.
- Adhere to legal and regulatory requirements for document retention and destruction.
- Financial Duties:
- Budgeting and Financial Management:
- Assist with budgeting and financial management tasks within the legal department.
- Tracking expenses, preparing reports, processing invoices, and ensuring compliance with financial policies and procedures.
- Process invoices, manage accounts payable, and reconcile financial transactions.
- Prepare financial reports and presentations to Head of legal & Compliance.
Education: Bachelor’ s degree in Law, Business Administration or any related field. Years of Experience: Minimum of 1-3 in a similar role.Proven experience as legal secretary, or Legal project manager.Certificates:Certified Legal Assistant (CLA) is preferred.Certified Corporate Compliance Specialist (CCCS) is preferred.
