Job Purpose:
Responsible for managing, coordinating and ensuring the implementation of IT and software solutions that meet departmental business needs. Acting as a single point of contact between the university and vendors, managing project scope, progress, timelines, and quality, guaranteeing successful system integration and user training.
Accountabilities:
- Gathers Departments’ requirements for understanding their specific business needs and expectations, ensuring that the software solutions align with their operational goals.
- Determines Software Solutions that serve the gathered requirements, thus enhancing departmental operations in the most effective and efficient way.
- Acts as Focal Point Between University and vendors to maintain communication, reduce misunderstandings, and ensure that all parties are aligned throughout the project lifecycle.
- Manages Project Scope, progress, timeline, and Scheduled activities to ensure that the project stays within defined constraints, meeting deadlines, and to be delivered on time.
- Follows Up on Vendor Tasks to monitor vendor progress, ensure tasks are completed as scheduled, and plan training sessions that prepare employees for the new system.
- Submits requirements and oversees project submission to ensure that all requirements are accurately documented, leading to the successful delivery of the project within quality standards.
- Manages schedule for project deadlines, keeping the project on track and ensuring all activities are completed in a timely manner.
- Performs system quality assurance checks to ensure that the implemented system operates smoothly while meeting quality standards.
- Trains employees on the system usage to ensure they are proficient in utilizing the new system, for improved operational efficiency and effectiveness.
- Coordinates training and practice sessions to provide structured opportunities for employees to learn and be fully prepared to use the system.
- Supports employees having system-related Issues providing troubleshooting, minimizing disruption in daily operations.
- Uploads training materials to the system for providing easy access to resources for reference.
- Meets with departments performing a gap analysis to identify areas for improvement in departmental processes and tackle them to enhance efficiency.
- Sets targets for process enhancements establishing clear and actionable goals based on gap analysis findings.
- Follows up on user issues with vendors ensuring that all user-reported issues are addressed promptly, to maintain system consistency and improve user satisfaction.
- Optimizes utilization of IT solutions to maximize the value and efficiency of IT investments, aligning with the university's strategic objectives.
- Performs any other task as requested by the Senior Director, Information Management.
Education:Bachelor’s degree in Information Technology, Computer Science, or any relevant field.Post graduate studies are preferred.PMP Certification is a PlusExperience:Minimum of 8 years of experience in project management or any related role.Skills:Excellent Leadership Skills.Excellent communication & negotiation skills.Excellent Planning & Organizational skills.The ability to work with people from a range of backgrounds and with a wide range of needs.Excellent Problem-Solving Skills & ability to think strategicallyExcellent level of English Language.Very Good knowledge of all MS.
