Payroll (HR to present list of tasks)
- Prepare the monthly payroll data, including editing the newcomers, the final settlement for resigned employees, any deductions or compensation and sending the final accordingly to Head of HR.
- Collect and handle the payroll variable as mobile allowances, overtime, penalties, social insurance shares, etc
- Deal with both the projects coordinators and clients through the process of time sheets’ collection.
- Finalize the collected data, and submit the completed time sheets to the HR Manager
- Prepare accurate and timely employee pay-slips
- Answer employees’ requests regarding payroll related issues.
- Conduct payroll audits and balances to ensure accuracy.
- Generate monthly reports for the Financial Auditor and/or Finance department
- Assist the HR Manager in preparing the HR budget if needed assigned.
Personnel (HR to present list of tasks)
- Responsible for the employees’ Database, Time and Attendance system and subsequent absence management, liaising with Managers.
- Actively update and maintain employee data within the Zoho system.
- Ensure that all documents of the employee file comply with the documents needed as set by Labor Law and Social Insurance to avoid any penalties that can be imposed on the company.
- Ensure issuing all monthly government and periodical payments checks/ labor office boxes on time in coordination with the finance team.
- Handle employee-related government forms (Forms 1, 2, and 6)
- Prepare or maintain employment files / records related to employees’ files hiring, termination, leaves, transfers, promotions or action plans to ensure adherence to the personnel filing system in electronic and paper form.
- Track employees' tardiness / absences / vacations / sick leaves and take the required disciplinary action accordingly after referring to the direct manager & Head of HR.
- Manage employee lifecycle processes, including onboarding and offboarding from personnel administration perspective.
- Collaborate with Talent Management lead on the timely review of employee contracts (including renewals and probation periods) including necessary terminations when required
Administration Support (HR to present list of tasks)
- Receive and process penalty memos, ensuring compliance with regulations and legal directives, and implement appropriate administrative actions.
- Review and reconcile all employee medical invoices, preparing reports in collaboration with HR Manager and Finance.
- Manage medical and employee theft insurance files, including edits, cancellations, and liaising with providers.
- Generate monthly personnel and medical reports as required.
