    Answer and direct phone calls   
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers                                                                                                                             Position Summary:  
    The Administrative Assistant will provide comprehensive administrative support to ensure efficient operations within the office. This role involves handling a variety of tasks, including scheduling meetings, managing correspondence, and assisting with office organization. The ideal candidate will be a proactive problem solver with excellent communication skills and a strong ability to multitask.

Key Responsibilities:  
- Perform general administrative duties such as answering phones, managing emails, and greeting visitors.  
- Schedule and coordinate meetings, appointments, and travel arrangements.  
- Prepare and distribute correspondence, reports, and presentations.  
- Maintain and organize electronic and physical filing systems.  
- Assist in the preparation of company documents and proposals.  
- Manage office supplies inventory and place orders as needed.  
- Support human resources tasks such as maintaining employee records and assisting with recruitment processes.  
- Process invoices, expense reports, and purchase orders.  
- Coordinate company events, workshops, and training sessions.  
- Ensure compliance with company policies and procedures.  
- Provide support to executives and other team members as required.  

 


Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin AssistantKnowledge of office management systems and proceduresWorking knowledge of office equipment, like printers and fax machinesProficiency in MS Office (MS Excel and MS PowerPoint, in particular)Excellent time management skills and the ability to prioritize workAttention to detail and problem solving skillsExcellent written and verbal communication skillsStrong organizational skills with the ability to multi-taskHigh School degree; additional qualification as an Administrative assistant or Secretary will be a plus                                                                                                                                          Qualifications:- High school diploma or equivalent required; Associate or Bachelor’s degree preferred.  - Proven experience as an administrative assistant or in a related role.  - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).  - Excellent verbal and written communication skills.  - Strong organizational and time-management skills.  - Ability to work independently and as part of a team.  - Attention to detail and problem-solving abilities.
