1. Manage and review the preparations and relations with the construction team and with construction personnel.
2. Review technical documents, and database relevant documents for the projects.
3. Planning and maintaining project budget and schedule Planning.
4. Attend progress meetings, and discuss and suggest technical proposals.
5. Take part in the project management review and risk management review.
6. Coordinate between the construction and PM teams ensuring that the construction requirements are conveyed to the PM teams and that the engineering deliverable satisfies the facility management requirements.
7. Managing the cost analysis and cost control of site activities.
8. Review subcontractors' and service providers' contracts and invoices.
9. Follow up with subcontractors and service providers during negotiations and offer award or subcontract terms, performance, and payments.
10. Documenting project issues/conditions and asset registry. 11. Maintaining organized and detailed project records.
Proven experience as an Office Manager, Front Office Manager, or Administrative AssistantKnowledge of Office Administrator responsibilities, systems, and proceduresProficiency in MS Office (MS Excel and MS Outlook, in particular)Hands-on experience with office machines (e.g. fax machines and printers)Familiarity with email scheduling tools, like Email Scheduler and BoomerangExcellent time management skills and ability to multi-task and prioritize workAttention to detail and problem-solving skillsExcellent written and verbal communication skillsStrong organizational and planning skills in a fast-paced environmentA creative mind with the ability to suggest improvementsHigh School degree; additional qualification as an Administrative assistant or Secretary will be a plus
