Office Manager

  • Act as the point of contact between the CEO and internal/external clients.
  • Monitor CEO Calendar.
  • Handle requests and queries appropriately.
  • Coordinate with related departments and follow up on their action items when required from CEO.
  • Ensure data accuracy received from various departments before presenting to the CEO.
  • Produce reports, presentations and briefs.
  • Implement and maintain procedures/administrative systems.
  • Manage diary and schedule meetings and appointments.
  • Manage day-to-day delegated tasks.
  • Devise and maintain an office filing system.
  • Take notes and writing minutes during meetings.
  • Conduct or preparing any research that the reporting manager may require.
  • Perform other duties as assigned.

Proven experience as an Office Manager, Front Office Manager or Administrative AssistantKnowledge of Office Administrator responsibilities, systems and proceduresProficiency in MS Office (MS Excel and MS Outlook, in particular)Hands on experience with office machines (e.g. fax machines and printers)Familiarity with email scheduling tools, like Email Scheduler and BoomerangExcellent time management skills and ability to multi-task and prioritize workAttention to detail and problem solving skillsExcellent written and verbal communication skillsStrong organizational and planning skills in a fast-paced environmentA creative mind with an ability to suggest improvementsHigh School degree; additional qualification as an Administrative assistant or Secretary will be a plus
