Would you like to contribute to UDesign Holding double digit growth journey from family business to become an incorporated Holding Company. Can you spearhead daily operations, assisting management in collaboration with the current Directors Office Manager. Can you manage relationships with multiple stakeholders, ensuring effective communication and collaboration, coordinate meetings, and ensure smooth office functioning. Can you thrive in a busy environment, maintain an overview even in fast-paced situations? Then you might be our new colleague.
What you will be doing:
• Handle secretarial tasks for the office.
• Greet and welcome guests upon arrival and direct them to the appropriate person and office.
• Handling, sorting, and dispatching daily mail.
• Act as a point of contact for customers, clients or suppliers via email, over the phone or in person at the Head Office
• Answer, screen and forward incoming phone calls.
• Organizing meeting rooms booking across all departments.
• Manage, and organize support staff according to timesheets, maintaining safety and hygiene standards of the Head Office.
• Pool and order Head Office supplies, and track stock.
• Additional tasks as assigned by management.
Job Requirements - Relevant education. - Proven experience as an administrative assistant or receptionist (preferably 3-5 years). - Excellent organizational and multitasking abilities. - Ability to handle confidential information. - Strong communication and interpersonal skills. - Proficient in Microsoft Office (Word, Excel, Outlook) and other basic office software. - Fluent in English and Arabic (Both on business level) - Having the same experience from a contracting or construction firm would be an advantage.Besides this you - Bring high energy and a positive attitude for both ad hoc task and routine work. - Are hardworking and reliable. - Have flexibility in working hours. - Are dedicated, focused with high attention to detail. - Are proactive and self-driven - Are service-oriented.
