Executive Secretary

Job Responsibilities:

  • Completing a wide range of administrative tasks including managing the Manager calendar , email, preparing expense reports, composing and preparing confidential correspondence, arranging travel plans, compiling documents for meetings, etc.
  • Plans, coordinates and ensures the Manager schedule is followed and respected. 
  • Managing non-accounting Finance Department and corporate filing 
  • Responsible for issuing all Letter of Guarantees of all projects & following the banks
  • Coordinating board and board committee meetings including the preparation of agendas, meeting packages, and taking minutes; oversees meeting logistics
  • Coordinating with the other top management and performing other duties as may be requested by the Manager .

 

  • Preparing letters, presentations and reports. 
  • Implementing and maintaining procedures/office administrative systems. 
  • Receiving and dealing with telephone calls professionally. 
  • Delegating tasks employees. 
  • Acting as a key liaison point between the GM and other key parties 

Job Qualifications:Fluency in EnglishExcellent organizational and time management skills Strong communication and interpersonal skillsProficiency in MS Office (Word, Excel, PowerPoint) Ability to handle multiple tasks and prioritize work effectively
