- First point of contact for all visitors and clients to greet and Welcome Visitors:
- Warmly welcome all visitors upon their arrival.
- Ensure visitors are directed to the appropriate person or place.
- Offer Drinks and make visitors feel comfortable while waiting.
- Answer and forward incoming phone calls in a professional manner.
- Coordinate courier services and manage incoming and outgoing mail.
- Support HR and office manager with clerical tasks such as filing, data entry, document preparation and collection, office organization.
- Assist in meeting room management, ensuring they are available, clean, and ready for use before meetings, and arrange items for hospitality.
- Monitor office and kitchen supplies inventory, placing orders as necessary to ensure nothing is missing.
- Assist in office activities and external events preparation such as arranging giveaways and order needed supplies.
- Communicate with building security to arrange visitor and employee parking and address any security-related matters to the office manager.
- Supervise the cleaning and maintenance staff to ensure the entire office is clean and presentable.
Education: Bachelor’s degree.
Proven work experience as a Receptionist, Front Office Representative or similar roleProficiency in Microsoft Office SuiteHands-on experience with office equipment (e.g. fax machines and printers)Professional attitude and appearanceSolid written and verbal communication skillsAbility to be resourceful and proactive when issues ariseExcellent organizational skillsMultitasking and time-management skills, with the ability to prioritize tasksCustomer service attitudeHigh school degree; additional certification in Office Management is a plus
