  1. First point of contact for all visitors and clients to greet and Welcome Visitors:
  • Warmly welcome all visitors upon their arrival.
  • Ensure visitors are directed to the appropriate person or place.
  • Offer Drinks and make visitors feel comfortable while waiting.
  1. Answer and forward incoming phone calls in a professional manner.
  2. Coordinate courier services and manage incoming and outgoing mail.
  3. Support HR and office manager with clerical tasks such as filing, data entry, document preparation and collection, office organization.
  4. Assist in meeting room management, ensuring they are available, clean, and ready for use before meetings, and arrange items for hospitality.
  5. Monitor office and kitchen supplies inventory, placing orders as necessary to ensure nothing is missing.
  6. Assist in office activities and external events preparation such as arranging giveaways and order needed supplies.
  7. Communicate with building security to arrange visitor and employee parking and address any security-related matters to the office manager.
  8. Supervise the cleaning and maintenance staff to ensure the entire office is clean and presentable.

 

Education: Bachelor’s degree.

 


Proven work experience as a Receptionist, Front Office Representative or similar roleProficiency in Microsoft Office SuiteHands-on experience with office equipment (e.g. fax machines and printers)Professional attitude and appearanceSolid written and verbal communication skillsAbility to be resourceful and proactive when issues ariseExcellent organizational skillsMultitasking and time-management skills, with the ability to prioritize tasksCustomer service attitudeHigh school degree; additional certification in Office Management is a plus
