Executive CEO Assistant

Primary Purpose of the Job
To provide high-level administrative support to the CEO and act as a liaison between the CEO, the Board of Directors, senior management, and external stakeholders, ensuring smooth daily operations, effective communication, and efficient handling of strategic objectives and administrative tasks.

Duties and Responsibilities

1. Strategic and Business Planning Support
- Provide input in business and strategic planning processes.
- Set goals for departments and individual managers to achieve strategic objectives.

2. Calendar and Schedule Management
- Provide sophisticated calendar management for the CEO, prioritizing inquiries and requests, and making recommendations to ensure smooth day-to-day engagements.
- Organize all Executive Team meetings, and retreats, and assist with staff meetings and events based on time frame availability.

3. Administrative Support for the CEO
- Complete a broad range of administrative tasks for the CEO, including special projects, designing complex documents, reports, and presentations.
- Collect and prepare information for meetings, compose and prepare correspondence, and ensure smooth handling of administrative operations.

4. Board of Directors Liaison
- Act as a liaison and provide support to the Board of Directors, handling logistics for Board meetings, drafting agendas, compiling materials, and recording meeting minutes.
- Ensure compliance with bylaws regarding Board matters.


5. Confidential and Critical Communication Management
- Serve as the primary point of contact for internal and external stakeholders on all CEO-related matters, managing highly confidential or critical information.
- Prioritize and determine the appropriate course of action, reflecting the CEO’s style and organizational policies.

6. CEO Liaison and Coordination
- Keep the CEO well-informed of upcoming commitments and responsibilities, following up as needed and anticipating the CEO’s needs.
- Act as a "barometer," staying attuned to internal and external developments, and keeping the CEO updated.

7. Outreach and Relationship Management
- Coordinate the CEO’s outreach activities and follow up on contacts made by the CEO to cultivate ongoing relationships.
- Support senior managers and executives with their daily tasks to maintain efficient operations.

8. Office Services and Policy Development
- Manage all aspects of office services, evaluating and assisting in the development of policies and procedures for improved workflow.
- Anticipate future organizational needs as the company grows.

9. Performance Management and Employee Supervision
- Participate in all aspects of performance management, motivating and assisting employees to perform their duties efficiently.
- Deliver quality administrative services and negotiate workable timeframes for tasks across departments.

10. Communication and Relationship Building
- Provide a bridge for smooth communication between the CEO’s office and internal departments, maintaining credibility, trust, and support with senior management.
- Compose regular correspondence, such as Zoom invitations and informative materials.

11. Record and Database Management
- Coordinate and manage records and databases to ensure accurate, organized, and accessible information.
- Develop and maintain a comprehensive filing system to ensure efficient information management.

12. Project and Task Completion
- Successfully complete critical aspects of deliverables, including drafting acknowledgment letters, personal correspondence, and other tasks to facilitate the CEO's leadership.

13. Visitor and Event Coordination
- Meet visitors, provide general support, and coordinate events as needed.
- Manage other assigned projects or duties that benefit the organization.
