Administration & Legal Manager

What is your role?

As an Administration & Legal Manager, you will be responsible for overseeing and managing a variety of administrative functions to ensure efficient and smooth operations within the company. Your role will encompass a wide range of tasks including dealing with various external authorities, handling licenses and visas, legal affairs, contract management, and general assemblies. You will also be supervising internal security and managing company transportation.

Responsibilities:

Dealing with External Authorities:

Liaise directly with various external parties, including the Investment Authority, Burj El Arab Authority, Social Insurance Office, Labor Office, Health Insurance, Ministry of Interior, Industrial Development Authority, Supply Authority, Defense Authority, etc.

Legal Affairs:

Supervise legal cases and affairs and collaborate with external legal counsel as necessary. Write and revise various contracts (companies, customers, employees). Organize and draft documents for general assemblies (Ordinary General Assembly, Extraordinary General Assembly).

Managing Company Licenses:

Monitor expiration dates and handle renewal of factory licenses (Commercial Registry, Industrial Registry Card, Import Certificate, Export Certificate, Taxation Card, Operational License, Stores Licenses, etc.). 

Handling Licenses and Visas:

Manage processes related to foreigners' licenses and visas in collaboration with relevant departments.

Social and Health Insurance:

Follow up on social insurance matters and ensure timely health insurance registration for employees.

Labor Office Procedures:

Ensure compliance with labor office regulations and procedures.

Managing Company Facilities

Ensuring proper maintenance of different company and staff facilities and maintaining operational stock for running these facilities.

Supervising Internal Security:

Oversee and ensure the security of office facilities and assets.

Records Management

Maintain and update company records, databases, and filing systems as well as ensure confidentiality and security of data.

Optimizing Company Transportation facilities:

Monitor and adjust transportation routes to achieve optimal usage and efficiency.

Car Insurance and Operations:

Handle dealings with car insurance companies. Manage and process expenses related to car operations.

Dispute Resolution:

Manage and resolve legal disputes and issues including those with defaulting customers to ensure that credit due is paid. 

Liaise with external legal counsel when necessary.

Policy Development:

Provide guidance on legal implications of business decisions regarding company policies and procedures.

 Risk Management:

Identify and assess legal risks and provide risk mitigation strategies in relation to different business activities of KKF as well as legal implications of any new business ventures.


Education:A bachelor’s degree in Law, or a related field.Experience:Minimum of 10 years of experience in administration roles, with a strong understanding of legal and regulatory requirements. Proven experience in managing administrative tasks and dealing with governmental and non-governmental entities.Skills:Excellent organizational and multitasking abilities. Strong written and verbal communication skills in both Arabic and English. Ability to handle confidential and sensitive information with integrity. Strong attention to detail and problem-solving skills.Technology Proficiency:Proficiency in Microsoft Office Suite and other relevant software.Adaptability and Stress Management:Ability to work in dynamic and challenging environments. Resilience in dealing with stressful situations.
