Job Overview:

The Procurement and Tendering Specialist is responsible for managing the procurement process and tendering activities for the organization. This role involves sourcing suppliers, negotiating contracts, and ensuring compliance with procurement policies and procedures. The specialist will work closely with various departments to understand their procurement needs and ensure timely and cost-effective acquisition of goods and services.

Key Responsibilities:

  • Procurement Strategy and Planning develop and implement procurement strategies that align with organizational goals and objectives.
  • Conduct market research to identify potential suppliers and assess their capabilities.
  • Prepare and issue Requests for Quotation (RFQs), Requests for Proposal (RFPs), and Invitations to Tender (ITTs).
  • Evaluate bids and proposals based on price, quality, delivery, and other criteria.
  • Coordinate tender review and evaluation processes, ensuring compliance with company policies and procedures.
  • Identify and evaluate potential suppliers based on their capabilities, quality standards, and pricing.
  • Negotiate contracts and terms of service with suppliers to ensure the best value for the organization.
  • Maintain relationships with existing suppliers and manage supplier performance through regular reviews and feedback.
  • Draft, review, and manage procurement contracts, ensuring compliance with legal and regulatory requirements.
  • Monitor contract performance and address any issues or discrepancies that arise.
  • Ensure timely renewal of contracts and manage contract extensions or terminations as needed.
  • Ensure compliance with procurement policies, procedures, and regulations.
  • Identify and mitigate procurement risks, including supplier risks and supply chain disruptions.
  • Maintain accurate and up-to-date procurement records and documentation.
  • Manage procurement budgets and ensure that expenditure is within approved limits.
  • Track and report on procurement expenditures and savings achieved through negotiations and strategic sourcing.
  • Identify opportunities for process improvements and implement changes to enhance procurement efficiency and effectiveness.
  • Stay updated on industry trends and best practices in procurement and supply chain management.

 Bachelor's degree in engineering, with experience in Supply Chain Management, Procurement, or a related field.Professional certification such as Certified Professional in Supply Management (CPSM) or Certified Purchasing Manager (CPM) is preferred.Minimum of 5-8 years of experience in procurement and tendering, preferably in a similar industry.Strong knowledge of procurement principles, practices, and procedures.Excellent negotiation and contract management skills.Strong analytical and problem-solving skills.Excellent communication and interpersonal skills.Ability to work independently and as part of a team.Attention to detail and strong organizational skills.
