Role Description:The Executive & Personal Assistant to the Chairman is responsible for providing comprehensive executive, administrative, and personal support to the Chairman & CEO. This role serves as a trusted right-hand partner, ensuring the effective management of business priorities, executive operations, personal commitments, communications, travel arrangements, and strategic initiatives. The position requires exceptional organizational skills, discretion, professionalism, and the ability to anticipate needs proactively while managing a dynamic and fast-paced environment. The successful candidate will act as a key liaison between the Chairman & CEO and internal/external stakeholders while ensuring the seamless coordination of both business and personal matters.
Job Description:Executive Support Manage and maintain the Chairman & CEO’s calendar, appointments, meetings, and daily schedule to maximize productivity. Prioritize and coordinate competing commitments, ensuring efficient time management and alignment with business objectives. Prepare professional reports, correspondence, presentations, proposals, and business documents with exceptional accuracy and attention to detail. Organize, prepare, and coordinate executive meetings, including agendas, presentations, meeting minutes, action items, and follow-up activities. Serve as the primary communication link between the Chairman & CEO and internal/external stakeholders. Manage executive correspondence, emails, Whats App communications, and requests on behalf of the Chairman & CEO. Act as a gatekeeper for executive meetings, requests, and escalations, ensuring proper channels are followed before reaching the Chairman & CEO. Coordinate administrative and operational activities related to strategic projects and business initiatives. Manage tasks, priorities, deadlines, and follow-ups using productivity and project management tools such as Notion. Develop a comprehensive understanding of the Chairman & CEO’s workflow, priorities, business objectives, and leadership style to proactively support decision-making. Monitor and manage expenses, financial records, reimbursements, and related documentation. Support the planning and execution of corporate events, workshops, bootcamps, executive engagements, and business meetings. Troubleshoot basic office technology and IT-related issues when necessary to maintain operational continuity. Continuously identify opportunities to improve executive support processes and administrative efficiency.
Personal Assistance• Manage and coordinate personal appointments, schedules, and commitments for the Chairman & CEO.• Arrange personal travel, accommodations, transportation, and detailed itineraries when required.• Assist with personal correspondence, documentation, and administrative matters.• Coordinate personal service providers, vendors, and external contacts as needed.• Handle confidential personal information with the highest degree of discretion and professionalism.• Support the Chairman & CEO with personal errands, special projects, and priority requests when required.• Ensure smooth coordination between personal and business commitments while maintaining confidentiality and professionalism at all times.
Job Requirements:Bachelor’s Degree in Business Administration, Management, Communications, or a related field. Minimum 7 years of professional experience in Executive Assistant, Executive Support, Office Management, or Administrative Management roles. Previous experience supporting senior executives, C-level leaders, founders, or high-profile executives is highly preferred. Proven ability to manage complex schedules, multiple priorities, and high-volume workloads. Strong organizational, planning, multitasking, and time-management skills. Exceptional verbal and written communication skills. Advanced proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook). Experience using productivity and project management platforms such as Notion or similar tools. High level of professionalism, discretion, confidentiality, and emotional maturity. Strong stakeholder management and relationship-building skills. Ability to work independently in a fast-paced and dynamic environment.
