A. Executive & Personal Assistance
- Manage the CEO/Chairman’s calendar, meetings, appointments, and travel arrangements
- Coordinate professional and personal requests with a high level of confidentiality and discretion
- Prepare meeting agendas, presentations, and follow-up on action items
- Handle correspondence, emails, and communications on behalf of the Executive Office
- Organize business trips, visa applications, hotel bookings, and travel logistics
- Maintain confidentiality of sensitive business and personal matters
B. Legal Coordination & Corporate Affairs
- Act as the primary liaison with external law firms, legal advisors, and official authorities
- Coordinate and follow up on legal documentation, contracts, agreements, and corporate filings
- Ensure proper filing and maintenance of corporate legal records and documentation
- Follow up on legal matters and ensure timely execution of required actions
- Support management in monitoring compliance-related matters and legal obligations
C. Licensing & Government Relations
- Initiate, process, and follow up on all company licenses and renewals including:
- Trade licenses
- Commercial registrations
- Operational permits
- Municipality and governmental approvals
- Any other official company licenses and permits
- Coordinate with governmental entities and official authorities regarding company documentation and approvals
- Maintain updated trackers and calendars for all licenses, permits, and renewal deadlines
- Ensure all legal and governmental documents remain valid and updated at all times
D. Office Administration & Coordination
- Ensure smooth day-to-day administrative operations within the Executive Office
- Coordinate with internal departments regarding executive requests and follow-ups
- Maintain organized filing systems and documentation records
- Follow up on pending tasks and ensure timely completion
- Assist in organizing meetings, company events, and executive visits
- Coordinate office-related requirements when needed
E. Communication & Stakeholder Management
- Serve as a point of contact between the Executive Office and internal/external stakeholders
- Ensure effective communication and coordination across departments
- Maintain professional relationships with service providers, governmental entities, and external partners
