Responsible for overseeing the preparation, processing, and management of all documents required for international trade. This role ensures that all outbound shipments comply with international regulations, customs requirements, and company policies. The manager leads the documentation team to ensure accuracy, minimize delays, and maintain seamless logistics operations.
Key Responsibilities1. Documentation Management
Oversee the generation of all export documents, including Proforma Invoices, Commercial Invoices, Packing Lists, Certificates of Origin, and Bill of Ladings.
Ensure all documentation meets the specific requirements of the destination country and the terms of the Letter of Credit (L/C).
Maintain organized digital and physical archives of all shipping records for audit and compliance purposes.
2. Compliance & Regulatory Oversight
Stay updated on international trade laws, Incoterms 2020, and customs regulations (e.g., EAR, ITAR, or local export controls).
Verify that all shipments comply with Harmonized System (HS) codes and trade agreements.
Coordinate with legal and compliance departments to mitigate risks related to international sanctions or restricted party screening.
3. Logistics & Stakeholder Coordination
Liaise with freight forwarders, shipping lines, and customs brokers to ensure timely clearance and delivery.
Work closely with the Sales and Finance departments to ensure payment terms are aligned with documentation (e.g., verifying bank requirements for sight drafts).
Communicate with international clients regarding shipping schedules and documentation status.
4. Team Leadership
Supervise and train the export documentation staff to ensure high levels of accuracy and productivity.
Implement Standard Operating Procedures (SOPs) to streamline the documentation workflow.
Monitor team performance and resolve any bottlenecks in the shipping process.
