Responsible for Playing a pivotal role in safeguarding the integrity of organizational documents, ensuring compliance with regulations, and promoting operational excellence. by maintaining document accuracy, facilitating quality assurance, and streamlining processes, this role helps mitigate risks, enhance productivity, and enable effective decision-making, ultimately contributing to the organization's overall success and reputation.
Manage Document Governance and Compliance Framework:
- Oversee the creation, revision, approval, and distribution of documents within the organization. Establish and maintain document control procedures and workflows. Ensure documents are properly formatted, organized, and follow relevant standards.
- Manage document versions to prevent outdated or incorrect information from being used. And implement a robust version control system to track changes and revisions.
- Facilitate document review and approval processes, involving relevant stakeholders. Ensure that documents are reviewed for accuracy, compliance, and adherence to quality standards.
- Develop and implement document retention and archiving policies to ensure documents are stored appropriately and for the required duration. Dispose of documents in accordance with retention policies and legal requirements.
- Assist in internal and external audits by providing necessary documents and evidence of compliance. Ensure that documents required for audits are readily available and accurate.
- Maintain document security by setting [MAMAA1] access controls and ensuring sensitive documents are protected from unauthorized access.
Manage Document Systems & Support:
- Develop and maintain a document retrieval system to ensure easy access to documents when needed. Train employees on how to access and use the document management system.
- Train employees and teams on document control processes and best practices. Promote awareness of the importance of document control in maintaining quality and compliance.
- Stay current with document management software and technologies and recommend updates or changes when necessary. Implement and manage document management software systems.
- Communicate document control policies, changes, and updates to all relevant departments and personnel. Collaborate with various departments to ensure document control processes align with organizational goals.
