Freight Forwarding Operations Specialist (Export)

Job Summary:

The Freight Forwarding Operations Specialist is responsible for managing the end-to-end shipment process, ensuring smooth coordination between clients, carriers, customs, and internal departments. The role involves handling documentation, tracking shipments, and resolving issues related to international and domestic cargo movements (air, sea, and land).

1. Shipment Coordination

  • Handle the full cycle of freight forwarding operations (import/export, air/sea) from booking to final delivery.
  • Coordinate with carriers, shipping lines, airlines, and agents to book cargo space and confirm transport schedules.
  • Ensure that cargo is moved efficiently, safely, and in line with customer expectations and contractual requirements.

2. Documentation & Compliance

  • Prepare and verify shipping documents including commercial invoices, packing lists, bills of lading, airway bills, certificates of origin, and customs declarations.
  • Ensure documentation compliance with international trade laws, customs regulations, and internal policies.
  • Liaise with customs brokers for clearance and ensure timely release of cargo.

3. Customer Service & Communication

  • Act as the main point of contact for clients regarding shipment status, documentation, and issue resolution.
  • Provide proactive shipment updates and follow up on customer inquiries, delays, or claims.
  • Work closely with the sales team to support customer retention and service excellence.

4. Carrier & Vendor Management

  • Coordinate with shipping lines, trucking companies, airlines, and warehouses to manage shipments and troubleshoot operational issues.
  • Monitor vendor performance and report any service failures or disputes.
  • Negotiate rates and transit times where applicable to improve cost-efficiency.

5. Shipment Tracking & Problem Resolution

  • Monitor cargo movement and transit progress via TMS or online platforms.
  • Track and trace shipments to ensure on-time pickup, transit, and delivery.
  • Resolve any problems such as delays, demurrage, detention, damage, or documentation errors.

6. Data Entry & Record Management

  • Accurately enter shipment data into the logistics system (ERP)
  • Maintain complete and organized records for shipments, invoices, costs, and correspondence for auditing purposes.
  • Issue invoices to customers and review vendor invoices for accuracy.

7. Cross-Department Collaboration

  • Coordinate with the finance team on billing, payments, and collections.
  • Support the warehouse and transportation teams with incoming/outgoing cargo planning.
  • Assist sales and account management teams with customer onboarding and logistics solutions.

Bachelor’s degree in Logistics, Supply Chain Management, International Business, or related field.2+ years of experience in freight forwarding operations (air/sea/land).Familiarity with customs regulations, and shipping documentation.Strong knowledge of global logistics processes, especially for import/export procedures.Proficient in Microsoft Office and logistics software Excellent communication, organizational, and multitasking skills.Fluency in English; other languages are a plus.
