Main Responsibilities and Tasks
Financial Management
- Supervise and manage of the company’s finance department, and consolidate company financial statements.
- Maintain general ledger chart of accounts and communicate changes with users on a periodic basis
- Monitor operating cash balance and recommend liquidation of investments.
- Contribute to and assist in the effective execution of internal and external audits, financial statement generation and regulatory submissions.
- Prepare, review and/or approve vendor requisitions for payments,
- Prepare bank reconciliations and coordinate with bank on transactions such as positive pay, stop payments, and check clearance
- Review programs expenditures from the team line staff to ensure conformity to Financial Policies and Procedures Manual (FPPM).
- Maintain and develop internal finance controls according to agreed upon financial manual and approved matrix.
- Payment and expense authorization control according to approved financial matrix.
- Provide recommendations to the business’s stakeholders and direct line management.
- Contribute to and assist in the effective execution of internal and external audits, financial statement generation and regulatory submissions.
- Provide operational support related to accounting activities and sequences to contribute to the overall financial processes.
- Manage departmental budgets including signing off of invoices and quotes within mandate.
- Escalate out of budgets items to the Managing Director for approval
- Sign off capital expenditure within budget. This includes approving purchase or sell decisions for desktop computers, laptops, departmental equipment etc.
- Manage the expenditure and disbursement of resources allocated to projects
- Monitor and advise on programs and project spending and variance report as per organizational process and procedures
- Conduct orientations and trainings for the finance/accounting staff at the field level
Grants/Projects Management
- Execute all financial and accounting activities for projects and grants
- Develop and update all documentation related to grants and process payments and requests
- Manage all administrative activities and procedures
- Set a plan and strategy for the Grants financial management
- Review the financial reports of all the grants
- Conduct audit visits to support the process of approving the financial reports
- Development of all forms of reports and manage governmental and international organizations (EU, UN, USAID, etc.) related documents and procedures for grants
- Manage budgets and ensure compliant utilization of all available grants in proper manner and timing
- Ensure compliant budget allocation as per contracts and commitments
- Communicate with all stakeholders and partners and contractors to ensure proper and compliant implementation of all projects/grants regulations and guidelines
- Develop and present regular accounting and finance reports for all projects and support the decision making with effective and sound analysis and recommendations.
Minimum QualificationsBachelor's Degree (or equivalent academic qualification) in a relevant field such as: accounting, finance, business Certification and accreditation in financial areas is an asset. CPA or CMA is preferred.Experience in managing funding from a diversity of sources including governments, aid agencies, and private sector donors. Minimum of 12 - 15 years of related experience with at least 7 years in managerial position in big cooperate.Advanced knowledge of Microsoft Office (emphasis on Excel)Systems orientation, ability to work on different financial and accounting application. Experience with ERP – SAP preferred.
