Executive Assistant to the Dean - Walsh School of Foreign Service

Requirements

The Walsh School of Foreign Service (SFS), founded in 1919, is a premier school of international affairs. SFS provides a rigorous education grounded in both theory and practice while instilling the Jesuit value of service. Father Edmund A. Walsh, S.J.’s vision was a school that would prepare students for all major forms of foreign representation — official and unofficial, governmental and private sector, whether commercial, financial, consular or diplomatic.

Duties

The Executive Assistant to the Dean provides high-level executive support and project management to the Dean of the Walsh School of Foreign Service. Additional duties include, but are not limited to:

Executive Support and Project Management

  • Provide high-level administrative assistance to the Dean and senior staff, such as calendar/contact database management, managing information flow, and travel arrangements (airline, car service, rental car, hotel).
  • Perform complex and confidential administrative duties such as securing appropriate signatures and tracking documents through the approval process, preparing expense reports, tracking initiatives, screening calls, maintaining an effective electronic filing system, and composing and editing correspondence, reports, publications, speeches, and written/verbal presentations.
  • Manage assigned projects, develop related work plans, and oversee project phases to ensure effective and efficient workflow.
  • Resolve inquiries and ensure compliance with policies and procedures, recommending changes to policies and procedures.
  • Prepare daily briefings and itineraries for the Dean, coordinating with the Chief of Staff and relevant offices and managing follow-up on action items for the Dean and the Chief of Staff.
  • Conduct background research on topics related to the Dean’s initiatives as directed by the Dean and/or Chief of Staff, organizing data for the Dean’s presentations and coordinating with other Dean’s Office team members and offices as needed.
  • Manage the Dean’s and Chief of Staff’s business-related expenses, including reimbursements, travel, and mobile communication accounts,, coordinating with the SFS Finance team on reconciliation and related financial matters.
  • Coordinate with the Office Manager or other team members as needed in support of the Dean’s technology, supply, and facilities needs.
  • Manage student employees supporting the Dean and Chief of Staff, and perform other related duties as assigned by the Dean and Chief of Staff.

Communication and Outreach

  • Assist with Board meeting planning and preparation with Chief of Staff, Executive Director of External Relations and Marketing, Events Director, and others as appropriate.
  • Prepare stewardship letters for donors on behalf of the Dean, working closely with the Office of Advancement and Chief of Staff.
  • In coordination with the Chief of Staff, manage scheduling communications on behalf of the Dean.

Event Coordination

  • Coordinate limited internal events hosted by the Dean, including private lunch meetings hosted by the Dean, selected Advancement-related events, and other events in the Dean’s office or at his home.
  • Manage scheduling, space reservations, invitations, catering, equipment, setup, and cleanup for events, maintaining necessary equipment and supplies.
  • Provide support to larger and/or high-profile SFS events as needed, in coordination with the SFS events team and the Chief of Staff.

Work Interactions

The Executive Assistant reports to the Dean’s Chief of Staff and Senior Administrative Officer, and works closely with the Dean and the SFS executive leadership team.

Requirements And Qualifications

  • Bachelor’s degree
  • 5+ years of relevant professional experience in support of a senior executive
  • Proficiency in technologies related to the duties of the position
  • Must demonstrate a high level of organization and attention to detail, the ability to manage sensitive and/or confidential information, and an outstanding commitment to customer service
  • Experience in higher education and interest in international relations preferred

Pay Range

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$47,586.00 - $87,558.13

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
