Job Overview:
We are seeking a highly organized and proactive office administrator to support our leadership team and ensure smooth office operations. This role involves executive-level support, office management, and administrative duties to facilitate the efficient running of our educational projects and initiatives. The ideal candidate will be a strong communicator, detail-oriented, and comfortable handling a wide range of administrative and managerial tasks in the education sector.
Key Responsibilities:
· Calls Handling: Answer, screen, and direct phone calls professionally and accurately.
· Meeting Visitors: Welcome and assist visitors, ensuring a positive experience.
· Emails Handling: Manage and respond to executives' email communications promptly and efficiently.
· Scheduling Meetings: Coordinate and schedule meetings for senior management, both internal and external.
· Monitoring Attendance: Track and maintain employee attendance records.
· Recruitment Support: Assist in the recruitment process, including screening candidates and scheduling interviews.
· Payroll Assistance: Support payroll processing, ensuring accurate data and timely submission.
· Performance Appraisal Coordination: Assist in organizing and managing the performance appraisal process for staff.
· Office Supplies Management: Monitor and order office supplies to ensure smooth daily operations.
· Filing & Archiving: Maintain organized filing systems and ensure proper archiving of documents both manual & digital.
· Office Expenses Handling: Manage office-related expenses, ensuring accurate records and timely payments.
· Managing & Organizing Projects/Tasks: Oversee the coordination of projects and tasks, ensuring deadlines are met and tasks are prioritized.
· LMS Rostering Process: Assist with managing the Learning Management System (LMS) rostering process for clients and internal teams.
· Maintaining Customer Database: Update and maintain the customer database to ensure accurate and up-to-date records.
Additional Responsibilities:
· Provide administrative support for ongoing educational projects, particularly those related to partnerships, product launches, and client relations.
· Liaise with key stakeholders, including educational institutions and publishing partners, on behalf of the leadership team.
· Assist in handling recruitment and employee-related processes, including attendance, payroll, and performance appraisals.
Qualifications and Experience:
· Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
· Minimum 3 years of experience as an executive assistant, secretary, or in a similar administrative role, preferably within the education sector.
· Excellent organizational and time-management skills, with the ability to handle multiple tasks efficiently.
· Strong written and verbal communication skills in English (additional languages are a plus).
· Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with digital collaboration tools.
· Experience with office management, including managing expenses, supplies, and recruitment processes.
· Familiarity with Learning Management Systems (LMS) and maintaining customer databases is highly desirable.
· Ability to work independently with a high level of professionalism and confidentiality.
