PRESENTATION OF THE ORGANIZATION

SOLIDARITES INTERNATIONAL (SI) is an international humanitarian NGO which, for more than 40 years, has been providing assistance to populations affected by armed conflicts and natural disasters by meeting their vital needs for food, water and shelter. Particularly involved in the fight against diseases linked to unsafe water, the first cause of death in the world, SI's interventions provide expertise in the field of access to drinking water, sanitation and hygiene promotion, but also in the essential area of food security and livelihoods. Present in around twenty countries, SI's teams - 2000 people in total made up of expatriates, national staff, permanent staff at headquarters, and a few volunteers - work with professionalism and commitment while respecting cultures.

DESCRIPTION OF THE POSITION 

MISSION / OBJECTIVES

The storekeeper / Radio Operator manages the receipt, storage, safe-keeping and delivery of food, goods, tools, and equipment used by Solidarités International or under the responsibility of Solidarités International.
He/she participates in the drafting and monitoring of all administrative documents related to stored items.
As a radio operator will take part in the safety of Solidarites International teams by monitoring all movements.
He/she ensures a permanent level of communication between Solidarites International teams and the bases.

Main Responsibilities:

1-    Maintenance storage spaces and stored equipment

  • Monitor the storage facilities and infrastructure both from inside and outside: locate damages and propose the necessary repairs.
  • Supervise cleaning and regular disinfection of storage spaces.
  • Introduce protection against insects and pests inside the storage spaces and apply treatment upon the first sign of infection.
  • Ensure adequate ventilation of the spaces.
  • Ensure the equipment and machines used by teams are cleaned before returning to storage.
  • Monitor the quality of products at the time of receipt. Put aside non-compliant or infected products and report to the line manager.
  • Regularly monitor the quality of products during storage. Pay special attention to expiration dates.

2-    Management of storage spaces

  • In conjunction with the Line Manager, make provisions for the staff and necessary equipment for loading / unloading.
  • Supervise the team of daily workers charged with storage activities.
  • Draft or complete dispatch and receipt documents in compliance with Solidarités International standards.
  • Monitor incoming and outgoing equipment.
  • Maintain updated inventory lists.
  • Participate in monthly stored goods and equipment inventories and reconciliation with what should be in stock.

3-    Reporting

  • Participate in the drafting of activity and inventory reports.

4-    Management of radio material

  • Oversee daily management of telecommunication equipment by distributing the equipment to teams as they leave for the field and ensuring that it is given back on their return. 
  • Follow up the daily movement of the team and keep records in the logbook.
  • Ensure that satellite telephones and trackers are fully and correctly charged. 
  • In coordination with the line manager, provide the Sat phone and trackers to each team going to the team.
  • Assist the line manager in the monthly assets inventory.
  • In charge of the weekly and monthly back-up for all the computers at base level.
  • Diagnose and report to his/her line manager any breakdown, damage, or loss of equipment.
  • Install telecommunication facilities on the bases.

5-    Procedures

  • Ensure that teams are fully trained in the use of the equipment and communication procedures.
  • Ensure that Solidarites International users follow communication procedures, particularly concerning sensitive information. 
  • Update selective call numbers.

6-    Communication / Movement Monitoring

  • If required, assume an intermediary role and relay messages between bases and teams. 
  • Follow the location of teams in the field and during town expeditions. 
  • Play a central role in the monitoring of team field location and report any information regarding their safety to his/her line manager.

Experience:

Essentials:

  • Bachelor’s degree in business administration or relevant fields.

Experience

  • At least 1 year of experience in Warehouse management at an INGO/NGO or similar experience

Required Professional Characteristics:

  • Strong Time management  
  • Knowledge in warehouse management and logistic work
  • Knowledge of basic compliance standards within logistics work
  • Excellent knowledge of Pack Office (Excel, Word, and Power Point)
  • Good English level (written and spoken)
  • Knowledge of the local humanitarian context
  • Professionalism
