Job Summary: The follow-up coordinator is responsible for ensuring the smooth operation of administrative processes within the company by monitoring the implementation of plans, tracking performance, and coordinating between different clients and following up on tasks assigned to administrative staff serving the company’s clients.
Key Responsibilities and Duties:
- Organizing and following up on the daily tasks of the work team through the dedicated system.
- Reviewing task updates and ensuring their execution according to the specified timeline.
- Continuous coordination with team members to ensure role clarity and smooth task distribution.
- Reviewing customer data uploaded to the cloud and ensuring its organization and timely updates.
- Monitoring workflow on the system and identifying any delays or areas requiring intervention or coordination.
- Preparing simplified reports on task status and submitting them to management periodically.
- Proposing improvements to workflow or data organization to enhance efficiency.
- Participating in coordinating internal meetings and documenting key points discussed.
- Performing any other tasks related to work organization and follow-up as directed by management.
- Handling any issues or delays in workflow and addressing them in coordination with management.
Education and Training:
- Educational Requirements: Preference for candidates holding a bachelor’s degree in Business Administration, Human Resources, Law, or a related field.
- Technical Training: Preference for candidates with training courses in using Microsoft Office programs, particularly Word and Excel, along with proficiency in administrative process management and electronic systems/internet usage.
- Work Experience: 3 to 5 years of experience in the administrative field, particularly in follow-up roles.
Skills and Capabilities:
- Organizational Skills: Ability to organize and manage documents and records accurately.
- Computer Proficiency: Strong computer, internet, and Microsoft Office (Word and Excel) skills.
- Communication Skills: Excellent verbal and written communication with various stakeholders.
- Government Procedures Knowledge: Full understanding of procedures and systems specific to Saudi government institutions.
- Ability to Work Under Pressure: Managing multiple tasks while meeting deadlines.
- Analysis and Follow-up: Precision in tracking, documenting, and analyzing transactions to ensure efficient workflow.
