Overview
GovCIO is currently hiring for a Project Coordinator to support a mission‑critical U.S. Coast Guard program. This position will provide coordination across PMO functions including task tracking, travel coordination, procurement activities, documentation management, and delivery of program reports. The Project Coordinator will work closely with PMO leadership, contract management, and cross‑functional stakeholders to ensure timely, accurate, and compliant execution of program operations. This position will be located in Alexandria, VA and will be a hybrid position.
Responsibilities
- Support PMO operations including scheduling, task tracking, deliverable updates, meeting coordination, and document management.
- Manage Travel Authorization Requests (TARs), including coordination with travelers, reviewing requirements, submitting approvals, and monitoring status.
- Coordinate travel schedules, reservations, and logistics in accordance with USCG and organizational travel policies.
- Prepare, compile, and submit Trip Report deliverables, ensuring accuracy, completeness, and compliance with program formatting requirements.
- Support procurement activities including drafting, submitting, and tracking Requests for Information/Procurement (RIPs), Purchase Requests (PRs), and related documentation.
- Track procurement workflows through approval steps and follow up with stakeholders to ensure timely processing.
- Maintain accurate records of PMO assets, purchases, travel, and operational documents.
- Assist in preparing PMO reports, dashboards, and summaries to support leadership visibility into ongoing activities and program health.
- Facilitate communication between PMO leadership, program teams, contracting, logistics, and mission stakeholders.
- Contribute to continuous improvement efforts by identifying process gaps and supporting documentation updates and workflow enhancements.
Qualifications
High School with 3 - 6 years (or commensurate experience)
Required Skills and Experience
- Clearance: Ability to obtain a Secret clearance.
- Experience supporting project coordination, administrative operations, or PMO functions.
- Experience preparing and tracking travel requests, schedules, logistics, or similar processes.
- Familiarity with procurement workflows such as RIPs, PRs, purchase tracking, or contract documentation.
- Strong organizational and documentation skills with the ability to manage multiple concurrent tasks.
- Proficiency with Microsoft Office tools (Word, Excel, PowerPoint) and collaboration platforms.
- Excellent communication skills and the ability to coordinate across multiple stakeholders.
- Ability to meet deadlines, follow procedures, and maintain accurate, audit‑ready records.
Preferred Skills and Experience
- Experience supporting the U.S. Coast Guard, DoD, or federal contracting environments.
- Knowledge of government travel regulations or federal travel systems.
- Familiarity with procurement or financial management procedures in regulated environments.
- Background supporting PMO functions or working alongside program managers.
- Experience coordinating deliverables or supporting contract‑level reporting.
- Exposure to process improvement methodologies such as Lean, Six Sigma, or ITIL.

Posted Pay Range
The posted pay range, if referenced, reflects the range expected for this position at the commencement of employment, however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, education, experience, and internal equity. The total compensation package for this position may also include other compensation elements, to be discussed during the hiring process. If hired, employee will be in an “at-will position” and the GovCIO reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, GovCIO or individual department/team performance, and market factors.
