Administrative Specialist

Job Purpose:

To manage, supervise, and coordinate all administrative affairs activities in the site, ensuring effective implementation of administrative policies, smooth service operations, proper coordination with government entities and service providers, and comprehensive administrative support to employees and site operations in compliance with company regulations.

 

Roles & Accountabilities:

  • Complete and supervise all administrative affairs activities at the site.
  • Supervise site administrative staff and ensure proper execution of assigned duties
  • Organize and manage all administrative work related to employees at the site.
  • Oversee transportation operations, including company-owned vehicles movement, maintenance, and utilization.
  • Coordinate with car rental companies, arrange vehicle requirements, and supervise service quality.
  • Supervise security, guarding, cleaning, buffet, and pest control services across the site.
  • Review, close, and follow up on extracts, invoices, and claims related to service providers and contractors.
  • Support maintenance, development, and improvement of administrative buildings at site.
  • Follow up on maintenance of office equipment.
  • Monitor and follow up on utility bills (telephone, internet, electricity, and water).
  • Ensure continuous availability of site administrative services and facilities.
  • Establish, manage, and renew service contracts, rental agreements, and furniture supply contracts.
  • Oversee public relations activities related to site administration.
  • Organize travel arrangements and ticket bookings for employees as required.
  • Ensure proper organization, documentation, and archiving of all administrative affairs records.
  • Prepare and submit weekly and monthly administrative reports as required. 
  • Implement and follow up on company administrative affairs policies and regulations.
  • Ensure full compliance with internal administrative procedures.
  • Participate in the preparation of the annual administrative affairs budget.
  • Monitor administrative expenses and support cost control initiatives.
  • Review financial commitments related to administrative services and contracts. 
  • Supervise and coordinate all administrative dealings with government agencies.
  • Supervise, guide, and direct administrative affairs staff at the site.
  • Distribute workload and follow up on performance and task completion.
