Import Officer

  • Coordinate with procurement, logistics and warehouse teams to plan import shipments of pumps, motors, cables, pipes and control panels.
  • Liaise with overseas suppliers, freight forwarders, customs brokers and transport companies to ensure timely delivery of imported goods.
  • Prepare and process all required import documentation: purchase orders, pro-forma invoices, commercial invoices, packing lists, bills of lading/airway bills, certificates of origin, customs clearance paperwork.
  • Monitor shipment status, track incoming goods, update internal systems on ETAs, delays, discrepancies, and follow up to resolve issues.
  • Ensure compliance with Egyptian customs regulations, import duties, taxes, clearance requirements, and maintain accurate records.
  • Coordinate with warehouse/inventory teams to ensure correct inspection, receipt, storage and documentation of incoming goods.
  • Work with the costing and finance team to record landed cost of imports (FOB + freight + duties + insurance + clearance) and provide reports on import cost variances.
  • Analyse transportation and import costs, propose cost-saving measures (e.g., consolidation of shipments, alternative routing, supplier terms).
  • Ensure quality control on imported goods: confirm supplier documentation, inspect delivery conditions, resolve discrepancies in quantity/quality.
  • Maintain and update the import database, vendors list, document archives, update KPIs (lead times, cost per shipment, number of delays, etc.).
  • Support internal audits of import processes, suggest improvements to standard operating procedures for the import function.
  • Communicate regularly with internal stakeholders (procurement, logistics, store, project teams) to ensure alignment on import schedules and project requirements.

Bachelor’s degree in Business Administration, Logistics & Supply Chain, International Trade, or a related field.2–5 years (or more) of proven experience in import operations, logistics, supply chain or a similar role, preferably in the engineering, manufacturing or mechanical equipment sector (pumps/water services is a plus).Experience dealing with customs clearance, freight forwarding, import documentation and tracking.Skills & CompetenciesStrong organisational skills with ability to manage multiple import shipments, deadlines and priorities.Excellent communication skills (internal and external), ability to liaise with suppliers, freight forwarders, customs brokers and internal teams.Proficiency in Microsoft Office (Excel, Word, Outlook); experience with inventory/logistics software or ERP systems is advantageous.Good understanding of shipping and logistics terminology, customs regulations in Egypt, import duty/tax regime, documentation requirements.Analytical mindset: ability to monitor costs, generate reports, propose improvement opportunities.Detail-oriented and accuracy in processing documentation and tracking shipment details.Ability to work independently and within a team, adaptable to changing priorities and operational demands.Fluency in English (spoken and written) is highly preferred given interaction with international suppliers; Arabic is of course required.Willingness to occasionally follow up with site teams, logistics teams, or travel locally if required for import/transport coordination.
