Responsibilities

1. Sales Operations & Broker Management:

Maintain and update approved pricing lists to ensure easy access and effective periodic revisions.

Document and track promotional offers, marketing campaigns, and their validity periods.

Manage official communication channels with brokers, receive and review customer registration requests (CILs), and provide timely feedback.

Proactively monitor broker contract validity and alert management prior to expiration.

2. Contract Lifecycle Coordination:

Act as the main coordinator between departments involved in the contracting process to ensure speed and accuracy.

Select the appropriate contract template according to variables such as project type, payment plan, and sales channel.

Enter and verify contract data and details before final approval.

Follow up efficiently on internal approvals (Legal – Finance – Internal Audit) to prevent delays.

Prepare, review, and archive final signed contracts properly.

3. Sales Data Management & Performance Analysis:

Record and manage leads from all sources in the CRM system.

Manage and monitor the lead distribution process to the sales team to ensure prompt response and conversion efficiency.

Operate and maintain the CRM system, coordinating with technical support to resolve any issues.

Prepare analytical reports on sales performance, lead source effectiveness, broker performance, total sales, and stock status.

Provide actionable insights and recommendations to support management decisions.

4. Administrative Coordination & Operational Support:

Prepare commission documentation for sales teams and brokers, and follow up on initial collection payments in coordination with the Finance Department.

Supply the Marketing Department with analytical data to support future marketing campaigns.

Deliver completed client files to the Customer Service Department to initiate the post-sales process.

Job Authority & Reporting

Level of Authority: Responsible for the accuracy of financial data within contracts and payment schedules — without direct financial authority.

Financial Responsibility: Ensures data accuracy without authorization for financial transactions.

Administrative Reporting: Reports directly to the Operations or Business Manager and coordinates with related departments, without supervisory responsibilities.

Qualifications

Education:
Bachelor’s degree in Commerce, Business Administration, Marketing, or a related field in sales or administrative operations.

Experience:
3–5 years of experience as a Sales Coordinator, Sales Operations Officer, or in a similar administrative role — preferably within the real estate development sector.

Skills & Certifications:

Proficiency in CRM systems (experience with 8X preferred).

Familiarity with ERP systems (preferably Odoo).

Excellent command of MS Office applications.

Strong attention to detail and high accuracy.

Ability to multitask and prioritize workload effectively.

Commitment to company procedures and policies.

Strong communication and interpersonal skills.

Analytical mindset with problem-solving and proactive thinking abilities.

Languages:

Arabic: Excellent (required).

English: Intermediate (required).
