Executive Assistant & Project Manager


We are seeking a highly adaptable, motivated, and detail-oriented professional to serve as both a personal assistant and project manager to the CTO of a pharmaceutical company while also supporting a growing tech startup. This hybrid role combines executive-level assistance and project management responsibilities, designed to reduce the CTO’s workload and help manage strategic initiatives, daily operations, and project execution.

In this role, you will assist in organizing and executing various projects, from software development phases to team coordination and stakeholder management. You will also act as a key liaison between the CTO and internal/external teams and help structure and prioritize their creative ideas into actionable plans.

This is an ideal position for a young, energetic professional with a strong interest in tech, startups, and operations, who is eager to learn, grow, and eventually take on larger responsibilities.

Key Responsibilities
 

1. Executive Assistance & Operational Support


Act as a right-hand assistant to the CTO, handling communication, task prioritization, and follow-ups.
Organize and synthesize the CTO’s creative ideas, translating them into structured, actionable plans.
Handle scheduling, email filtering, and stakeholder coordination, ensuring smooth executive operations.
Track high-priority tasks and projects, ensuring they progress efficiently without micromanagement.
Set up, moderate, and document key meetings, ensuring discussions are structured and action-oriented.
Prepare reports, presentations, and documentation to keep all stakeholders aligned.
 

2. Project Management Responsibilities


Manage and coordinate strategic projects, including product development and operational initiatives, across both the pharmaceutical company and the startup.
Work closely with technical and non-technical teams, understanding development phases, deadlines, and deliverables.
Identify and mitigate risks, roadblocks, and inefficiencies before they impact progress.
Ensure that teams are aligned, deadlines are met, and resources are allocated efficiently.
Provide project documentation, status reports, and summaries for key stakeholders.
 

3. Communication & Leadership


Serve as a primary liaison between the CTO and internal/external stakeholders.
Ensure clear, professional communication across departments and with external partners.
Confidently manage high-pressure situations and adapt quickly to shifting priorities.


 Must-Have Skills &Experience Fluent in English (both written and spoken) at a near-native or native level. Experience  in project management, operations, executive assistance, or related roles (preferably in startups, tech, or dynamic environments). Strong organizational skills—able to prioritize, structure, and manage multiple tasks and projects simultaneously. Experience preparing professional reports, presentations, and project documentation. Strong executive-level communication skills, both written and verbal. Experience with project management tools (Jira, Asana, Notion, Monday.com, Trello, ClickUp, etc.). Confident and assertive personality—able to handle a highly creative executive without being overwhelmed. Technical Background & Software Development Familiarity (Preferred, Not Required)While coding skills are not required, you should be comfortable enough with software development concepts to communicate effectively with technical teams and the CTO. This includes:Understanding major software concepts (e.g., APIs, databases, cloud infrastructure, front-end vs. back-end). Familiarity with software development workflows, including Agile/Scrum, version control (Git), CI/CD, and DevOps practices. Ability to reference and discuss code or technical implementations at a high level without needing in-depth explanations. Comfortable translating technical discussions into actionable items for non-technical stakeholders.Preferred (Nice-to-Have)Experience working closely with C-level executives or founders. Understanding of Agile, Scrum, or other project management methodologies. Experience handling operations, logistics, or strategic execution at a startup. Eagerness to learn and grow into a more senior role over time.
