MEDICAL DATA PROCESSING OFFICER
Main Purpose |
Carrying out medical data collection and entry activities into the mission database recording all relevant clinical and demographic data on patients and ensuring data quality/reliability, according to MSF protocols and maintaining confidentiality while producing the appropriate, updated documents for the medical team in order to support decision-making processes. |
Accountabilities |
- Performing data entry of all epidemiological information into select databases program and creating appropriate reports, providing data for project development purposes.
- Ensuring that all data entered has been authorized and that appropriate documentation has been received (patient records, treatment monitoring, etc.). Ensuring that all data entry processes occur in a timely and efficient manner.
- Ensuring all data collected and entered to databases is consistently accurate and complete. Being responsible for ensuring that quality control queries of the database are followed up, ensuring identification of data entry errors and corrections. Immediately reporting to the supervisor, any anomalies in the database.
- Filing documents according to MSF standards.
- Communicating regularly with the HCW’s, assisting in the (re) training, when necessary, on proper registration of patients, proper filling of the various forms, clarifying queries, obtaining missing information and correcting errors, ensuring they have ongoing sufficient supplies of necessary hardcopy data collection forms.
- Assisting in the compilation and preparation of regular reports and providing detailed information to medical and laboratory teams (weekly, monthly, according to patient treatment requirements).

MSF Section/Context Specific Accountabilities |
The MSF project in Giza runs an outpatient clinic that offers a comprehensive package of care. This package includes medical care, psychological care, social support (referrals) and physiotherapy. Each patient has a personalized treatment plan. A strong community component has also been developed and Mental Health services are provided at community level. Specific accountabilities: - Ensure and maintain patients and project confidentiality regarding all sensitive data and information recorded.
- Collaborate with Project staff to retrieve closed patient files and ensure their proper return to the archives.
- Safeguard all provided equipment and maintain a clean, organized recording area with particular attention to patient files.
- Actively contribute to the regular management of the “missed appointment files”.
- When necessary, review files to complete missing data and notify supervisors of any incomplete files.
- Regularly analyze in completed data fields, and inform managers and supervisors of any updates or corrections.
- Provide regular feedbacks to the team regarding challenges related to data collection in order to improve the quality and accuracy of data entry in the epidata sheets filled out by the clinicians.
- Support other teams in transitioning to a digital data collection system.
- Collaborate with supervisors to prepare orientation sessions and reference material for the new staff on the documentation and data collection systems.
- Participate in updating the patient’s datasheets when necessary.
- Participate in quarterly report discussions or other team meetings when necessary.
- Contribute to the development of new data collection tools.
- Ensure a weekly data backup system is in place.
- Provide written feedback on achievements and challenges related to the tasks that need to be included in the quarterly project report.
- Report any issue concerning data and archive management to the supervisor.
