Executive Secretary

We are seeking a highly organized and proactive Executive Secretary to support our management team. The ideal candidate will handle administrative tasks, assist in accounting and financial coordination, manage governmental communications, and provide logistical support for IT and office operations.

Responsibilities:

  • Schedule and manage appointments, meetings, and events.
  • Draft, edit, and proofread emails, letters, reports, and other documents.
  • Screen and prioritize incoming correspondence and communications.
  • Organize travel itineraries, flights, accommodations, and transportation.
  • Maintain organized filing systems (digital and physical) and manage confidential documents.
  • Prepare agendas, minutes, and follow-up action plans for meetings.
  • Provide research and data analysis as required.
  • Assist with tracking expenses, managing petty cash, and basic bookkeeping tasks.
  • Liaise with the legal accountant in the main Cairo branch for financial reporting and compliance.
  • Assist with tasks related to social insurance and tax authority requirements.
  • Coordinate IT system maintenance, backup and software updates.
  • Manage logistics related to IT equipment, office supplies, and general office needs.
  • Communicate with social insurance offices and tax authorities as needed.
  • Facilitate submission of reports and legal compliance documentation.

Act as the primary contact with legal accountants and advisors for governmental or compliance matters.


Required Skills:Strong organizational and time-management skills.Excellent written and verbal communication in both Arabic and English.Proficiency in office and accounting software (e.g., Microsoft Office Suite, basic bookkeeping tools).High level of confidentiality and discretion.Problem-solving and decision-making abilities.Attention to detail and accuracy in managing records.Familiarity with social insurance, tax authority processes, and compliance requirements. Bonus Skills (Preferred):Advanced knowledge of Microsoft tools such as Power BI, Microsoft Lists, Power Automate, and Power Apps.Experience with ERP systems, particularly Odoo.Advanced fluency in written and spoken English for professional communication.
