Administrative Duties (30% of actual job time):
- Act as the point of contact between the executives and internal/external clients.
- Provide general support to visitors
- Handle requests and queries appropriately.
- Maintain diary, arrange meetings and appointments and provide reminders.
- Make travel arrangements.
- Plan in-house or off-site activities, like parties, celebrations and conferences.
- Organize office layout and order stationery and equipment
- Partner with HR to update and maintain office policies as necessary.
- Manage office G&A budget, ensure accurate and timely reporting.
- Produce reports, presentations and briefs.
- Monitor office supplies and research advantageous deals or suppliers.
Commercial & Analytics Duties (70% of actual job time):
- Get involved in sales analysis and prepare periodic reports on company performance.
- Participate in budgeting process cycles & provide input when necessary.
- Coordinate with other departments to keep track of business trends, contracts, etc.…
Experience as an Executive Administrative Assistant or in other secretarial position.Comprehension of office management systems and procedures.Good Knowledge of MS office modules (Outlook, Power Point, Word & Excel) & computer knowledge in general.Proficiency in English is a must have (daily interactions with foreign nationals).Discretion and confidentiality.Email etiquette familiarity.
