Specialist, Travel

Job Purpose: 

Responsible for implementing the policies related to travel, accommodation and tourism services required by ESLSCA community, executing the procurement, sourcing, and negotiations related to travel arrangements under the supervision of the Travel Manager, both within Egypt or abroad, maintaining the finest quality and service level objectives within the budget.

Travel Operations:

  • Implements all Travel related policies and ensures compliance by all ESLSCA community.
  • Works on executing the set strategies to increase compliance Solving and overcoming technical problems, arise due to change of rules and regulations of service provided by outside agents in coordination with the Travel Manager.
  • Assists in the preparation of annual budget and quarterly budget forecasts for regular Students’ trips, events and conferences required by Faculty & Staff as per the direction and  approval of the Travel Manager
  • Handles the arrangements of Business travel for ESLSCA Top Management and ESLSCA Community
  • Coordinates with the travel management companies and service provider including all operational issues
  • Supervises and follows-up travel consultants, supports in training new employees.
  • Supports in negotiations of the Best possible rates for travel and accommodation, this involves building relationships with vendors who will offer discounts for repeated use of their services
  • Coordinates the invoices of issued services weekly with the Finance’s office to settle payments for different service providers.
  • Supports internal customers (from Faculty & Staff) in making arrangements for personal travel trips by finding the best prices for air tickets through website of different airlines and to settle missing miles.
  • Conducts searching different pricing methods to come up with the best economical fares to ESLSCA.
  • Handles all transportation for any staff or faculty traveling internally within Egypt and ensures convenient accommodations and trip programs.
  • Supports in preparations and arrangements of seminars, meetings, conferences, holidays and travel programs locally & internationally. (as assigned)

Reporting:

  • Generates comprehensive data & ongoing report from providers on Business travel expenses to assist ESLSCA administrator with reviewing and Budgeting travel costs
  • Prepares semiannual financial report showing detailed activates done by the Travel Office
  • Provides accurate on-demand reports as per management’s request

Performs any other tasks requested from International Travel Manager or Secretary General.


Education:Bachelor Degree in Tourism or any relevant field.Experience:2 to 4 years of experience in Travel planning, accommodation, tourism agencies.Experience in Educational Institutes is preferred.Skills:Excellent communication skillsExcellent Negotiation skillsVery good leadership skills & ability to lead change and pursue implementation of new initiatives.Good level of punctuality and accountability.Excellent analytical skillsExcellent level of English languageVery good level of French languageExcellent knowledge of all MS. applications (Word, PowerPoint, Excel…)
