  1. Completes an administrative tasks for the Line Manager including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, compiling documents for business trips.
  2. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Line Manager, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  3. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  4. Prepare a market research report as per the need's arises (surfing the internet).
  5. Prepare presentation and makes sure that it is kept updated.
  6. Provides a bridge for smooth communication between the Line Manager's office and stakeholders.
  7. Prepare meetings requirements as location (on-site or off-site), catering, notification, logistics, etc
  8. Attend meeting and keep Minutes of Mom (MOM), as well draft and circulate to attendees when required.
  9. Create Purchase Requisitions on Oracle ERP when needed.
  10. Run regular report out of Oracle ERP when needed.
  11. Collect data from other Departments and prepare statistical/consolidated reports.
  12. Typewrite reports, memos, letters, and other documents & make copies of needed correspondence and other printed material.
  13. Keep records (Hardcopy OR Softcopy) and track the incoming and outgoing correspondence
  14. Check frequently the levels of office supplies and place appropriate orders when required.
  15. Answer telephone calls and give information to callers, take messages, or transfer calls to his/her manager.
  16. Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.

6+ years of experienceKnowledge of office management and basic accounting procedure as well as technical vocabulary of relevant industryFamiliarity with advance research methods and reporting techniquesExperience in ticketing (booking flights, hotels, transportation) is preferred Familiarity with operating office equipment, such as photocopy machine, scanners, fax, etc.Excellent in using MS Office (Word, Excel, Power Point)Excellent interpersonal and communication skillsExcellent French, English and Arabic Language (Oral & Written)
