Job Description: 

 

The Administration Supervisor is responsible for facilitating the efficient functioning of our Egypt office through a range of administrative tasks in addition to managing the global purchasing & vendor management processes globally. The incumbent will be responsible for managing admin staff, executing daily office operation functions in the office.

  • Handling Reception responsibilities
  • Provide administrative and clerical support to the Egypt office.
  • Prepare invoices, Expenses reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
  • Coordinate travel and accommodation requirements.
  • Filter general information, queries, phone calls and invitations or taking forward such contact as appropriate.
  • Keep and maintain an accurate record of papers and electronic correspondence.
  • Prepare correspondence including the drafting of general replies.
  • Prepare correspondence and assist in preparing presentations and spreadsheets.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Monitors the performance of the office devices and stationary to spot any problem with any of the devices and issue a maintenance or purchasing order to our suppliers if needed.
  • Following up pending subjects & report the feedback independently.
  • Post the open vacancies on the Recruitment Platforms
  • Make the first screening for the resumes and share it with the HRBP
  • Handling all the onboarding process of the new employee
  • Handling all the offboarding process of the resigned employee
  • Building Management
  • Travel and Visa Management

 

Qualification and Experience:

  • Bachelor Degree.
  • 2 to 5 years of expertness in the similar role.
  • Fluent Arabic and English communication skills (verbal and written).
  • Professional use of computer MS office applications.
  • Exceptional communication and interpersonal skills.
  • Strong organizational skills with ability to multi-task.
  • Ability to effectively prioritize and execute tasks in a high- pressure environment.
  • Ability to work well through others.
